Operations, Excel & Administrative Coordinator (Long-Term Remote Opportunity)

I'm looking for a highly organized, analytical, and dependable Operations, Excel & Administrative Coordinator to become a long-term member of my growing business. This role is ideal for someone who enjoys solving problems, working with data, organizing information, and helping a business run efficiently. You'll work directly with the business owner on a wide variety of operational, administrative, and analytical tasks. I will provide training, but I'm looking for someone who has an outstanding work ethic, excellent communication skills, availability and a strong desire to learn. ________________________________________ Responsibilities • Build, update, and maintain Excel spreadsheets and trackers. • Analyze operational data and identify trends. • Validate reports and ensure data accuracy. • Create dashboards and management reports. • Work with ADP, online portals, and internal business applications. • Review payroll, attendance, and operational reports. • Draft professional emails, letters, and business communications. • Organize digital files and maintain documentation. • Conduct research and summarize findings. • Schedule meetings and maintain calendars. • Coordinate projects and follow up on action items. • Conduct Zoom meetings for employee coaching, attendance, and operational reviews. • Present reports and performance metrics during Zoom meetings. • Assist with process improvements and business automation. • Support day-to-day administrative and operational activities. • Learn new software, systems, and AI tools as the business grows. ________________________________________ Required Skills • Advanced Microsoft Excel • Strong Microsoft Office skills (Excel, Word, Outlook, PowerPoint) • Excellent administrative and organizational skills • Strong analytical and problem-solving ability • Excellent written and verbal English • Excellent presentation and communication skills • Comfortable leading Zoom meetings with employees • High attention to detail • Strong time management • Ability to multitask and prioritize work • Fast learner with a willingness to learn new technology • Reliable internet connection and computer • Self-motivated with minimal supervision ________________________________________ Preferred Skills • Pivot Tables • XLOOKUP / VLOOKUP • Power Query • Google Sheets • ADP Workforce Now (or similar HR/payroll systems) • Online business portals • AI tools (ChatGPT, Microsoft Copilot, Gemini, etc.) • Process documentation • Dashboard creation • Basic data visualization ________________________________________ What I'm Looking For I'm looking for someone who: • Loves working with Excel and data. • Has exceptional attention to detail. • Takes ownership of their work. • Can communicate professionally with employees and management. • Is comfortable presenting information during Zoom meetings. • Learns quickly and adapts to new systems. • Thinks critically and solves problems independently. • Wants a long-term opportunity with a growing business. • Values quality, reliability, and professionalism. ________________________________________ Compensation We will begin with paid task-based assignments so we can get to know each other's working style and ensure we're a good fit.
