Order Time (OrderTime) Order Management Administrator - Part-Time, Ongoing OVERVIEW We run our business on Order Time (OrderTime) Inventory for sales and inventory management, and we're looking for an experienced order management administrator to own our day-to-day order processing. This is an ongoing, part-time role (roughly 10-20 hours per week) handling the full sales cycle from quote through shipping, plus the purchasing that supports it. You must have hands-on Order Time experience. This is not a role to learn the software on. If you've run sales orders, ship docs, and POs inside Order Time before, you'll be productive on day one. WHAT YOU'LL DO Quote to Sales Order conversion: convert approved quotes into sales orders, enter customer PO numbers, and confirm pricing, terms, and line items are correct. Sales order entry: create and maintain sales orders accurately, manage statuses and approvals, and keep customer, contact, and address records clean. Purchase order creation and management: generate POs against vendors, track costs and lead times, monitor reorder points, and follow up on open POs. Ship Doc creation: create ship docs from approved sales orders, manage picking and packing, and generate packing slips. Linked and drop-ship POs: create linked purchase orders when inventory is short, and manage drop-ship items so they flow correctly through the sales order and ship doc. Flag data or workflow issues and suggest cleaner ways to run the process. REQUIRED Demonstrated hands-on experience administering Order Time (OrderTime) Inventory. Solid understanding of the sales cycle: quote to sales order to ship doc, and how POs (standard, linked, and drop-ship) tie into it. Accurate, detail-oriented data entry and a habit of double-checking numbers. Clear written English and reliable, self-directed communication. NICE TO HAVE QuickBooks experience (Order Time integrates with QuickBooks). Familiarity with inventory concepts: reorder points, vendor management, multi-warehouse. Experience with shipping tools (e.g., ShipStation) and EDI. ENGAGEMENT DETAILS Ongoing, hourly, approximately 10-20 hours per week. Fully remote and async. Work on your own schedule as long as orders are processed on time and turnaround expectations are met. Start with a small paid test batch of orders, then move into steady weekly work.
