Part-Time Executive Assistant to a UK Founder/CEO - ongoing, ~15 hrs/week (remote, UK hours)

Overview: We're looking for a sharp, proactive Executive Assistant to support a UK-based founder and CEO across both his professional and personal life. This is an ongoing, long-term, part-time role averaging around 15 hours a week, worked remotely on UK business hours. You'll be the person who keeps his inbox, diary, travel and admin running smoothly so he can focus on running the business. It's a role built on trust, discretion and follow-through - we want someone who anticipates what's needed and quietly makes things happen. What you'll be doing - Inbox and diary - Manage and triage the principal's email; own his calendar end to end: scheduling, rescheduling, protecting focus time, reconfirming standing meetings, and keeping track of his action points. - Meetings and scheduling - Set up and coordinate recurring and one-off meetings and calls, including with a roster of regular contacts. You'll handle the back-and-forth to lock in times. - Travel - Build and book travel end to end: UK rail, international flights, hotels, transfers and detailed itineraries. - Events and hospitality - Make restaurant and venue bookings; coordinate regular networking dinners and occasional events, including reservations, guest lists and attendee confirmations. - Task and project coordination - Keep a task-management board up to date (we use Jira): logging, triaging and routing tasks, and chasing items through to completion. - Personal and household admin - Handle personal arrangements (family events, memberships, bookings) and light liaison on a residential rental property (insurance renewals, rent reconciliation, coordinating maintenance). - Ad hoc - Pick up one-off projects and events as they arise. Hours and working arrangement ~15 hours per week on average, spread flexibly across the week. Expect some variation - quieter weeks, and busier ones around travel or events. - Ongoing and long-term - we're looking for someone to settle into the role, not a short project. - Remote, but working UK business hours. About you - Proven experience as an EA or PA to a senior executive, founder or other busy principal. - Exceptional organisation and follow-through - nothing slips through the cracks. - Excellent written English and a polished, professional tone when corresponding on someone else's behalf. - Proactive and self-directed - you anticipate, manage upward, and don't need chasing. - Completely discreet with confidential and personal information. Confident with Microsoft 365 (Outlook in particular) and task-management tools (we use Jira; comparable tools are fine). Resourceful with online booking, scheduling and research. Nice to have - Familiarity with Jira or other project management software - Some exposure to light bookkeeping-adjacent admin - reconciliations, supplier or contract liaison. Tools you'll use Microsoft 365 (Outlook, Word, Excel, SharePoint), Jira, Canva, scheduling tools, and online travel and booking platforms.
