**Job Title:** Part-Time Executive Assistant / Operations Support Worker (ADHD & UK LTD Compliance Support) **Overview:** I am a UK-based business director looking for a part-time, long-term Virtual Assistant (starting at approximately 3–5 hours a week) to act as an external "executive function" buffer. I am neurodivergent (AuDHD) and run a fast-paced courier and logistics operation. I need an organized, tech-savvy assistant who can manage digital systems, keep my momentum going, and comfortably handle a highly asynchronous workflow. This role functions similarly to a self-funded workplace adjustment/support worker; your job is to handle the high-friction digital admin so I can focus entirely on core business execution. **Core Responsibilities:** - **Asynchronous Task Extraction:** Listen to raw, unstructured WhatsApp voice notes or text dumps and independently translate them into clean, actionable tasks or file notes. - **Accountant & Financial Buffer:** Manage my business receipts, match transactions, and attach documents inside Xero and Apron. You will update my internal Google Sheets forecasting spreadsheets and act as the clear communication buffer between me and my corporate accountant. - **Recruitment Pipeline Management:** Keep an eye on my active candidate funnel on Indeed. You will daily filter out unqualified applicants, send basic screening messages to promising candidates, and handle interview bookings/calendar coordination. - **Calendar & File Architecture:** Manage my Google Calendar entirely (acting as a proactive gatekeeper). You will also maintain a clean, highly visual folder structure in Google Drive so files don't disappear into digital "object permanence" blind spots. - **Incidental Personal Support:** Provide gentle accountability reminders and help keep personal reminders or appointments synced so my workflow doesn't stall due to administrative burnout. **What We Are Looking For:** - Confirmed experience working with ADHD/AuDHD clients, or an innate understanding of executive dysfunction, task inertia, and how to structure neuro-inclusive workflows. - Absolute comfort using WhatsApp and audio messaging as primary tools for communication. - Solid familiarity with Google Workspace (Sheets, Drive, Calendar). - Prior experience or high comfort level learning cloud bookkeeping tools (Xero/Apron) and recruitment platforms (Indeed). - **Proactive Problem-Solving:** You don't wait for step-by-step instructions. You anticipate bottlenecks, check the systems independently, and present simple options rather than asking open-ended questions. **Project Scope & Budget:** - This is a part-time, long-term freelance contract beginning with a 3–5 hours per week commitment. - Hours may scale up as recruitment campaigns launch or business operations expand. - **Hiring Process:** We will start with a short, paid 2-hour test project for shortlisted candidates to assess communication compatibility and task-filtering style.
