Part-Time Financial Administrator

We're looking for a sharp, organised financial administrator based in Hong Kong to join our Family Office on a part-time basis. You'll be the financial and administrative coordinator for a multi-entity, multi-jurisdiction private group — keeping the books tidy, the compliance calendar on track, and the external accountants well-fed with everything they need. This is a hands-on role with real variety. One day you might be reconciling bank feeds and processing payables; the next you're chasing a document from an Estonian accountant or updating the compliance tracker. You'll work closely with our Business Manager (based in Australia) and liaise directly with professional advisors in Hong Kong, the United States, Spain, and Estonia. You'll be under Glitch Ventures Limited, a Hong Kong holding company, and your remit covers the broader group entities. What you will be doing Financial administration and bookkeeping coordination - Processing and tracking payables across the group entities; invoice intake, coding, approval routing, and payment batching - Bank reconciliation across group accounts (Xero, NAB, Airwallex) - Maintaining clean, presentation-ready financial reports — P&L, cashflow, and budget — on a monthly and fortnightly basis - Coordinating quarterly compliance items and supporting compliance deadlines as they arise - Maintaining filing conventions and document management across Google Drive External advisor liaison - Acting as the primary coordination point with our external accountants and service providers across Hong Kong, the United States, Spain, and Estonia - Preparing and routing documents for review and lodgement - Tracking outstanding items and following up on behalf of the Business Manager Operational support - Maintaining and updating task trackers in Asana - Drafting routine correspondence and coordinating administrative logistics for the group - Supporting the onboarding of new processes and SOPs as the role evolves What we are looking for Essential - Based in Hong Kong — this is a non-negotiable requirement - Minimum 3 years of experience in bookkeeping, financial administration, or accounting support - Proficient in Xero (or willing to upskill quickly) - Comfortable working with Google Workspace (Drive, Sheets, Gmail) - Strong attention to detail and ability to manage recurring tasks independently - Excellent written English — you will be corresponding with external advisors on behalf of the group - Discreet and professional — this is a family office environment; confidentiality is essential Desirable - Experience working in a multi-entity or multi-jurisdictional environment - Familiarity with Asana or similar project management tools - Familiarity with Airwallex or other international payment platforms - Experience with Hong Kong accounting or compliance requirements - Degree or diploma in accounting, finance, or business administration How the role works in practice You will report to the Business Manager, who is based in Australia. Day-to-day communication is primarily via email and Asana, with regular check-ins as needed. You will work largely independently within a clear set of recurring tasks and processes, with guidance provided during onboarding. The role is part-time and flexible — approximately 5–8 hours per week, spread across the week as the work demands. This is not a full-time position and is suited to someone who manages multiple clients or engagements, or who is looking for a stable part-time role alongside other commitments.
