About This Role I'm a Hall of Fame keynote speaker (leadership, peak performance, sales audiences) looking for a sharp, detail-oriented VA to run a weekly lead generation system for me. Your job is simple but requires precision: find organizations that have hired keynote speakers for large corporate or association events, identify the decision maker who books speakers, verify their email, and enter everything into HubSpot CRM using a defined format. This is not a data entry role. It requires judgment — you'll be reading Google results and LinkedIn posts, determining whether something is actually a confirmed speaking engagement at the right scale, and deciding whether an organization belongs in our pipeline. This is a part-time, ongoing role. Approximately 5 hours per week. I'm looking for someone reliable who can own this system long-term. What You'll Do Each Week Monday — Google Research (1.5 hours) Run structured Google searches on a defined list of competitor keynote speakers (33 names provided). Search strings like: keynote "[Speaker Name]" 2024 and keynote "[Speaker Name]" 2025. When you find a confirmed speaking engagement at a company or association with 250+ attendees, log it as a new lead. Tuesday — LinkedIn Research (1 hour) Manually visit each Tier 1 competitor's LinkedIn profile (12 names, weekly). Look for posts in the past 7 days announcing or referencing a speaking engagement. If a company logo appears in a photo, identify the company. Screenshot or copy the post URL. Wednesday — CVB Calendar Check (1 hour) Check the future events calendar on 8 designated city CVB (Convention & Visitors Bureau) websites. Flag any conference or summit with 250+ attendees that appears to need a keynote speaker. Cities include Dallas, Chicago, Orlando, Las Vegas, Nashville, Denver, Phoenix, Atlanta. Thursday — Bureau Pages (monthly rotation, ~30 min) Once per month, sweep competitor profiles on speaker bureau websites (BigSpeak, Washington Speakers Bureau, Premier Speakers, Executive Speakers, AAE, Speakers.com, Harry Walker, eSpeakers). Extract named clients from testimonial and partial client list pages. Friday — Google Alerts + Weekly Summary (1 hour) Check the Google Alert for "Call for Speakers." Flag any qualifying keynote/plenary opportunities (not breakout sessions). For urgent leads with imminent deadlines, email me immediately. Send a brief one-paragraph summary of the week's findings. HubSpot CRM Entry (Throughout the Week) For every confirmed lead, you'll create: Contact record — decision maker name, title (VP HR, Chief People Officer, Director of Events, etc.), verified email (found via Apollo.io, which I'll provide access to), LinkedIn URL Company record — organization name, industry, event name, estimated attendance, event type (corporate/association/franchise), annual cycle month, competitor who spoke there, source URL Deal record — linked to both Contact and Company, placed in the "Speaking Opportunities" pipeline at "New Lead" stage, with a follow-up date set I'll provide a detailed field guide so you know exactly what goes where. What I'm Looking For Required: Demonstrated HubSpot experience — not just "CRM experience" in general. You should be able to describe exactly how you'd structure a contact and company record and link them to a deal. English writing quality — you'll send me a weekly summary email; it needs to be clean and clear Reliable, consistent availability — this is a weekly system; I need someone who shows up every week Research judgment — the ability to look at a Google result and determine whether it's actually a confirmed speaking engagement at the right scale, not just a mention Preferred: Experience with LinkedIn research or competitive intelligence Experience using Apollo.io or similar email-finding tools Familiarity with the professional speaking industry (helpful but not required) The Test Task (Paid — 2 Hours) Before I commit to an ongoing arrangement, I'll ask you to complete a short paid test task. You'll receive: 3 competitor LinkedIn profiles 2 CVB city URLs You'll need to: Find one recent speaking engagement post or announcement for each competitor Identify the organization from each engagement Find the decision maker at that organization via Apollo.io Show me exactly how you'd enter it in HubSpot — fields used, source tag, notes written, follow-up date set I'll pay for 2 hours of your time for this task. The output tells me everything I need to know. Tools You'll Need I'll provide access to: HubSpot CRM (Contacts and Deals access only) Apollo.io (email finding) A detailed written system guide covering every source, every search string, every HubSpot field You'll need: Your own LinkedIn account (manual browsing only — no automation tools) Google (standard search) How to Apply Please answer these three questions in your proposal: Describe your HubSpot experience specifically. What records have you created? How do you link contacts to companies to deals? What fields do you typically fill out? Give me one example of a research task you've done where you had to use judgment — not just follow instructions, but decide whether something qualified or not. What does your weekly availability look like? Can you commit to the same 5 hours each week on a consistent schedule? Generic proposals will not be considered. I'm looking for someone who has read this posting carefully and can answer these questions specifically. This role has real growth potential. If you're reliable and the system works, I'll expand your hours and responsibilities over time.
