# Part-Time Operations Manager | Invoicing, Client Administration & Business Operations We are a UK-based AI visibility and digital marketing agency looking for a highly organised and proactive Operations Manager to take ownership of our day-to-day administration and business operations. The purpose of this role is to free up the founder's time so they can focus on sales, partnerships, strategy, and business growth. This is a long-term, part-time position for someone who enjoys taking ownership, improving processes, and helping a growing business operate efficiently. ## Responsibilities ### Finance & Administration * Chase outstanding invoices and overdue payments. * Monitor accounts receivable and client payment status. * Liaise with our bookkeeper and accountant. * Assist with Xero administration and financial record keeping. * Maintain organised financial and business documentation. * Track recurring client payments and subscriptions. ### Client Operations * Manage client onboarding administration. * Ensure all required client information is collected and organised. * Coordinate handovers between sales and fulfilment. * Monitor client progress and flag any issues requiring attention. * Maintain accurate client records and documentation. ### Business Operations * Create and maintain Standard Operating Procedures (SOPs). * Improve and document internal processes. * Keep company systems and records organised. * Track key business metrics and reporting. * Assist with supplier and contractor coordination. * Follow up on outstanding actions across the business. ### Team Support * Coordinate tasks between team members and contractors. * Ensure projects continue moving forward efficiently. * Help maintain accountability and organisation across the business. ## Requirements * Previous experience in operations management, executive assistance, business administration, or a similar role. * Strong organisational and communication skills. * Excellent written and spoken English. * Experience with Xero or similar accounting software. * Ability to work independently and take ownership of tasks. * Strong attention to detail. * Comfortable working with systems, processes, and documentation. ## Preferred Experience * Digital marketing agency experience. * Service-based business experience. * Client onboarding and customer administration. * Process improvement and business operations. * Project coordination. ## Hours & Availability * Initially 10–15 hours per week. * Long-term ongoing position. * Flexible schedule. * Some overlap with UK business hours preferred. ## What Success Looks Like Within the first 90 days: * Outstanding invoices are actively managed and followed up. * Client onboarding runs smoothly and consistently. * Administrative workload is removed from the founder. * Internal processes are documented and organised. * Business operations become more efficient and less dependent on day-to-day founder involvement. ## Application Questions 1.
