Personal Injury Intake Specialist Summary The Law Office of Andre Anziani is a personal injury law firm dedicated to helping injured individuals through the legal process with care, urgency, and strong advocacy. We are seeking a motivated Intake Specialist to serve as the first point of contact for potential new clients. This role focuses primarily on answering inbound calls from qualified paid lead sources, responding quickly to new lead alerts (including texted leads), gathering key information, and guiding each prospect through the intake process until the representation agreement is signed. This role is ideal for someone who is confident on the phone, persuasive without being pushy, highly responsive, and strong at follow-through. Key Responsibilities • Answer inbound calls from potential clients generated through paid marketing and lead sources. • Respond immediately to new leads received via text or other alerts by calling them right away. • Conduct intake calls by asking key questions, gathering facts, and documenting all information accurately. • Screen potential cases based on intake criteria and clearly communicate next steps. • Build rapport quickly and provide a calm, professional experience for callers who may be stressed or injured. • For texted leads, follow a structured multi-touch outreach process (calls and texts) over five days until live contact is made. • Track every lead’s progress and maintain accurate notes, call logs, and status updates in firm systems. • Enter new potential client information into the case management system accurately and promptly. • Own the intake pipeline from initial contact through signed representation agreement, ensuring leads do not fall through the cracks. • Meet or exceed performance expectations for responsiveness, follow-up, and signed intake conversions. Qualifications • Prior legal intake experience (immigration law intake experience preferred). • Fully bilingual in Spanish and English (spoken and written), with a confident and professional phone presence. • Familiarity with personal injury case types and terminology (car accidents, slip and falls, and other injury claims). • Strong communication skills, emotional intelligence, and active listening. • Highly organized and able to manage multiple active leads at once while keeping follow-up timely and accurate. • Comfortable using tools such as Zoom, Clio, RingCentral, Slack, and related intake/case platforms (CasePeer experience is a plus). • Must have a quiet, professional work environment and reliable high-speed internet. Compensation and Schedule Pay is based on experience, including familiarity with personal injury intake and relevant software systems (including CasePeer and RingCentral). Shift: Monday through Friday, 8:30 AM to 5:30 PM CST. Weekend shifts and additional hours may be available based on business needs. Thank you for your interest in joining our team!
