Summary

I am a commercial real estate broker specializing in off-market retail strip centers and NNN investment properties across the country. I am looking for an experienced Pipedrive consultant to build out my CRM from scratch over the next few weeks with a targeted 2-3 weeks competion timeline— not just configure it and hand it off, but build it out alongside me, hear my business, understand it deeply, and tailor every solution around my specific workflow. I want to learn the platform while we build it together so I can own and operate it confidently when we are done. My Business: I run an outbound prospecting operation where a VA cold calls property owners using lists from a paid real estate software. When an owner is identified or picks up, I take over the follow up calls. On the other side I maintain a database of 500+ active buyers — investors I send deals to when I find something that matches their criteria. Both buyers and sellers need to live in one clean CRM so I can manage every relationship in one place. What I need help with: 1. Pipeline Setup Build a custom sales pipeline that reflects my outbound prospecting workflow from first contact all the way to closed deal. Stages need to reflect the reality of cold calling property owners — not a generic sales funnel. 2. Seller Lead Management Structure and organize my seller leads across different stages of contact including owners where a voicemail was left and I am waiting to connect, owners I have spoken to briefly who are not ready to sell but worth nurturing over time, owners who have expressed interest in selling and I am actively working, and owners I have sent underwriting or an offer to. Each of these buckets needs the right follow up cadence built around it. 3. Automations Build call disposition automations so that when I log a completed call activity on a deal, a follow up task is automatically created based on which stage the deal is in. Different follow up windows per stage — for example a voicemail in an early stage gets a 60 day follow up, a may sell gets 14 days, an active deal gets 2 days. I want this to run like clockwork so I never have to manually set a reminder after logging a call. 4. Buyer Contact Management Build a filtered List View for my buyer database so I can instantly pull up the right buyers when a deal comes across my desk — filtering by state, asset class, buy box size, and investment criteria. I currently manage this in Google Sheets and need to replicate and improve it in Pipedrive with the added benefit of follow up reminders so buyer relationships never go cold. 5. Custom Fields & Data Architecture Set up custom fields for both deal cards (property address, state, property type, square footage, lot size, unit count, temperature, better hook flag, property software link) and person/contact cards (buyer criteria, states investing in, outreach history, texted, emailed, letter mailed). Everything needs to be mapped correctly from the start. 6. Data Migration I have existing data in Google Sheets — active seller leads and a buyer list with 500+ contacts. Help me map the columns and either import cleanly or guide me through manual entry without duplication or field mismatches. 7. JustCall Integration I use JustCall as my dialer. It is already connected to Pipedrive. Help me configure the integration correctly so calls log automatically to the right deal and contact cards with the right outcomes. 8. Training & Workflow Design This is as important as the technical setup. I want to understand exactly how to use this system daily — how to open Pipedrive in the morning and know who to call, how to log a call correctly, how to move deals through stages, and how to manage my buyer list efficiently. I want to leave this engagement knowing the platform inside and out. Ideal candidate: • Proven Pipedrive experience with outbound sales or real estate businesses • Understands prospecting-driven workflows, not inbound marketing CRMs • Has built systems that manage both a seller pipeline and a contact database simultaneously • Familiar with JustCall or similar dialer integrations • Collaborative — willing to work alongside me, explain decisions, and build around my business rather than a generic template If this sounds like, please apply and upon my review, we will schedule a time for a Video interview (must include Video) to discuss qualifications and the potential of working together Thank you, Brian
