FF&E Procurement & Logistics Coordinator

FF&E Procurement & Logistics Coordinator Primary Responsibilities Create purchase orders from approved specifications. Submit orders to vendors and confirm pricing, lead times, and availability. Track every order from placement through delivery. Coordinate with furniture reps, workrooms, manufacturers, and freight companies. Schedule deliveries and installations. Work with receiving warehouses and white-glove delivery companies. Manage freight claims, damages, shortages, and returns. Maintain accurate procurement spreadsheets and status reports. Reconcile vendor acknowledgments and invoices. Communicate weekly order updates to the design team. Ensure clients are billed appropriately for purchases. Desired Experience 3+ years in interior design procurement or luxury furniture purchasing. Experience with high-end vendors (Holly Hunt, McGuire, RH, Palecek, etc. is a plus). Comfortable reading specifications and finish schedules. Excellent Excel or Google Sheets skills. Detail-oriented with exceptional follow-through. Able to juggle hundreds of line items without letting details slip. Software Experience Ideally someone familiar with: Design Manager, Studio Designer, or Programma QuickBooks Excel Google Workspace Dropbox UPS/FedEx freight systems Personality Traits This role requires someone who is: Extremely organized Process-driven Proactive Calm under pressure Persistent when following up with vendors Excellent at written communication Obsessed with details This person doesn't need to be highly creative—they need to love checking boxes, tracking orders, and ensuring nothing falls through the cracks.
