QuickBooks Migration & Job Costing Setup

Project Overview We are a construction company using two active QuickBooks company files and need an experienced QuickBooks expert to help us consolidate our data and establish accurate job costing in a single file. Current Situation We currently maintain two QuickBooks company files: 1. Original Company File (2016–Present) ● Contains our complete company history. ● Continues to be actively maintained and kept current. ● Used by our operations team for project management and job costing. ● Contains detailed customer, project, and cost tracking information. 2. New Company File (Created in 2025) ● Created by our CPA as a clean accounting file. ● Has been used for bookkeeping, reconciliations, and financial reporting since 2025. ● Transactions have generally been categorized at a high level. ● Customer, project, and job-costing detail were not consistently transferred. ● As a result, project-level reporting and job costing are currently limited. Objective We want to make the newer CPA-managed QuickBooks file our primary company file going forward while preserving the detailed job-costing information currently maintained in the original file. Scope of Work We are seeking a QuickBooks expert to: ● Review both QuickBooks company files. ● Analyze the best strategy for consolidating data. ● Transfer or recreate the necessary project-level information from the original file into the newer file. ● Import only the relevant data needed for 2026 operations. ● Preserve and/or rebuild: ● Customers ● Jobs/Projects ● Products & Services ● Vendor assignments ● Transaction detail ● Cost coding and categorization ● Job-costing relationships ● Ensure project costs are associated with the correct customers and jobs. ● Validate reporting accuracy after migration. ● Recommend best practices for construction accounting and future job-costing workflows. Ideal Candidate ● Advanced QuickBooks Online and/or QuickBooks Desktop expertise. ● Experience with QuickBooks file migrations and consolidations. ● Strong construction accounting and job-costing experience. ● Experience working with contractors, remodelers, or project-based businesses. ● Ability to advise on the most efficient and lowest-risk migration approach.
