Summary

We're an established US-based service company (10+ years, fully remote) rebuilding our financial reporting to be 100% QuickBooks Online native. Our books are current and accurate — this is a configuration and reporting project, not a cleanup of messy books. We're on QuickBooks Online Plus and expect to upgrade to Advanced as part of this project. You'll work directly with our operations lead to: - Review and restructure our chart of accounts for management reporting - Design and roll out a class scheme (separating a small non-core revenue line, one-time revenue, late fees, and annual-payment expenses) - Implement prepaid-expense amortization for annual software subscriptions (including a catch-up for payments made last December) - Structure labor costs so wages, PTO, health-insurance reimbursements, and incentive payments are separately reportable (payments flow in from a time-tracking/payments platform) - Build custom management reports in QuickBooks Advanced, including expense-ratio reports (defined expense groups ÷ revenue) using calculated fields - Document the setup so our team operates it going forward Must-haves: - Deep QuickBooks Online expertise (Plus and Advanced), including classes, custom report builder / calculated fields, and prepaid-expense amortization workflows - Experience configuring QBO for management reporting (not just tax/compliance bookkeeping) - Strong async communication; comfortable pairing with our internal owner so knowledge transfers Nice-to-haves: experience with Stripe/Bill.com revenue flows into QBO; experience working alongside an external bookkeeping firm.
