Summary

A law firm specializing in estate planning, estate planning, probate, trust admin, and guardianship is seeking an experienced Receptionist / Intake Specialist for a full-time position. This role involves being on the phone for the majority of the day while providing exceptional client service and administrative support. The ideal candidate should have at least 3 years of office administration experience, preferably in a law firm or professional office environment. This position requires excellent communication skills, strong organizational abilities, attention to detail, and the ability to work both independently and collaboratively in a fast-paced setting. A neutral to American accent is preferred. Responsibilities include: Answering inbound phone calls, assisting prospective and existing clients, scheduling consultations, and confirming appointments. Greeting clients and visitors, managing front desk operations, and ensuring a welcoming office environment. Managing calendars, client files, document scanning, correspondence, invoices, payment collection, and other administrative tasks. Supporting attorneys and staff with office operations, marketing events, workshops, and special administrative projects as needed. Requirements: Minimum of 3 years of office administration, receptionist, or customer service experience. Excellent verbal, written, and interpersonal communication skills. Strong organizational and multitasking abilities with keen attention to detail. Proficiency in Microsoft Office; experience with Clio is a plus. Customer service, intake, or appointment-setting experience is highly preferred. Positive, compassionate, professional, and adaptable with a strong commitment to client service. Neutral to American accent preferred. Working Conditions: Full-time, 40 hours per week. Shift between 9:00 AM and 5:00 PM EST, Monday through Friday.
