Recruiting Operations & Systems Specialist (AI & Automation)

About the Role We’re looking for someone who loves building systems, improving processes, and making things run smoothly. In this role, you’ll design and optimize our recruiting engine—from how candidates are sourced all the way to hire. You’ll connect our tools, streamline workflows, and make sure everything is tracked, visible, and easy to use. The goal: create a recruiting system that just works. What You’ll Do • Build and improve our recruiting workflows (sourcing → interview → hire) • Connect and optimize tools like Recruiterflow, LinkedIn Recruiter, SeekOut, Calendly, and AI tools (GPT/Claude) • Ensure every candidate is tracked clearly (including where they came from) • Automate repetitive tasks and improve efficiency across the team • Create dashboards and reporting so we always know what’s working (and what’s not) • Help bring AI into our recruiting process for smarter decisions and better insights What We’re Looking For • Experience in recruiting operations, systems, or process-heavy roles • Strong understanding of recruiting workflows and ATS systems • Someone who enjoys building and improving systems, not just maintaining them • Comfortable working with tools, integrations, and automation (Zapier/Make, APIs, etc.) • Interest in using AI to improve workflows and decision-making • Organized, detail-oriented, and highly structured thinker Our Stack • Recruiterflow (ATS/CRM) • LinkedIn Recruiter & SeekOut • Calendly • Metaview • GPT / Claude • Plus other tools we may add as we scale What Success Looks Like • Clear, simple recruiting processes that everyone follows • Full visibility into pipelines, candidates, and sources • Less manual work, more automation • A smooth, scalable recruiting engine
