Remote Legal Intake Coordinator

A small, established elder law and estate planning firm is seeking a reliable remote intake coordinator to serve as the first point of contact for prospective clients. This is an ongoing engagement, and we are looking for one dedicated person we can build a lasting working relationship with and work with the attorney and staff on a daily basis. Your role is to own the intake process from the first phone call through the appointment. That includes answering and returning calls, triaging each caller to determine whether the matter is a good fit for the firm, confirming that the caller understands our intake fee the and also understands the value of the meeting and why we charge the consultation fee, sending the appropriate intake questionnaire, requesting supporting documents, and following up before the appointment to collect anything still outstanding. You would oversee and manage our 'waitlist' and add clients who request to be placed and determine if moving the client to the earlier appointment is appropriate based on the clients' cooperation in returning information requested. You would also schedule appointments and save documents received electronically to the correct client folder using Microsoft Word. We are looking for a leader and a self-starter who can take direction regarding the areas of law where we serve clients, the important discussion points during the intake process, the questionnaires and documents that are needed, but develop the process by themselves. We want a person who will design and own their own systems to support the rest of the team, anticipate needs before they are raised, and triage problems that arrive fast and often several at once. Strong communication skills are essential. You will spend your day on the phone with clients who are frequently elderly or in stressful circumstances, so you must be articulate, warm, discreet, and calm under pressure, and you must handle sensitive personal and financial information with complete professionalism. Experience with legal or professional intake, virtual reception, or client coordination is strongly preferred. Familiarity with elder law or estate planning is a bonus but not required, since we will train you on our specific processes. Comfort with our client management system, Practice Panther, Microsoft Word and standard document and scheduling tools is essential.
