We are seeking a highly organized and experienced Remote HR Operations & Compliance Manager to serve as our centralized HR representative and oversee HR operations across all companies. ⸻ Position Type * Remote * Long-term opportunity * Part-time initially (with the possibility of full-time) * Flexible hours * U.S.-based candidates preferred * International candidates with strong U.S. HR experience are welcome ⸻ Role Overview You will function as our outsourced HR Department and become the primary point of contact for all Human Resources matters across our companies. You will help us establish modern HR practices, implement AI-driven workflows, ensure compliance with U.S. labor laws, and support a growing remote and international workforce. ⸻ Key Responsibilities 1. HR Operations * Manage employee onboarding and offboarding * Prepare offer letters and employment agreements * Draft independent contractor agreements * Prepare NDA and confidentiality agreements * Maintain personnel records and employee files * Track probation periods and employment status * Develop employee handbooks and HR policies * Maintain organizational charts ⸻ 2. Recruitment & Talent Acquisition * Create and manage job postings * Recruit candidates through: * Upwork * LinkedIn * Indeed * Other recruiting platforms * Screen resumes * Conduct initial interviews * Coordinate hiring decisions * Manage reference checks * Support background screening ⸻ 3. Contractor & Freelancer Management We work with: * U.S. employees * Independent contractors * International freelancers * Upwork contractors * Remote workers worldwide Responsibilities include: * Contractor agreements * Scope of work documents * Time tracking * Contract renewals * Performance monitoring * Documentation management ⸻ 4. U.S. HR Compliance You should have experience with: * Federal employment laws * State employment laws * Employee vs Independent Contractor classifications * Wage and hour regulations * Employment documentation * Workplace policies * Anti-discrimination regulations * Remote workforce compliance ⸻ 5. Payroll Coordination Coordinate payroll and employee records through systems such as: * ADP * Gusto * Payroll reporting systems Responsibilities: * Time tracking * Payroll review * PTO tracking * Wage documentation * Employment records ⸻ 6. Performance Management * Develop KPIs * Conduct performance reviews * Performance Improvement Plans (PIP) * Employee coaching processes * Professional development plans ⸻ 7. AI & HR Automation We are particularly interested in someone who embraces AI and modern HR technology. You should be comfortable using AI to: * Draft HR documents * Create policies * Generate interview questions * Screen resumes * Prepare reports * Automate HR workflows * Build knowledge bases * Improve operational efficiency Experience with AI tools is highly desirable. ⸻ Preferred Software Experience Experience with some or all of the following: * ChatGPT * BambooHR * ADP Payroll * Gusto * Asana * Notion * Google Workspace * Microsoft 365 * LinkedIn Recruiter * Upwork Talent Platform ⸻ Required Qualifications Must Have * Minimum 5 years of HR experience * Experience with U.S. employment laws * Experience managing remote teams * Experience with contractors and freelancers * Excellent written and spoken English * Strong organizational skills * Ability to work independently ⸻ Preferred * SHRM Certification * PHR Certification * Multi-company HR experience * Startup or small business experience * International workforce experience * AI and HR technology experience ⸻ What Success Looks Like Within the first few months, you will help us: * Establish a centralized HR department * Standardize HR documents and policies * Improve recruitment and onboarding * Organize employee files * Implement AI-powered HR workflows * Improve compliance and reporting * Support employees across all companies ⸻ Why Join Us You will work directly with the executive leadership team and play a key role in shaping the HR strategy of a growing group of companies operating in multiple industries and international markets.
