Summary

We are an Australian company seeking an experienced Sales Support & Customer Service person to join our team on an ongoing full-time basis (35–40 hours per week), starting with an initial 1 month trial period. This is a long-term position for someone with excellent written and spoken English, exceptional organisational skills, and a strong customer service mindset. Our entire business run on Odoo ERP so experience with Odoo is essential. Key Responsibilities Customer Service • Manage the company's main sales inbox. • Acknowledge all inbound customer enquiries promptly. • Delegate enquiries to the appropriate team members. • Follow up delegated enquiries to ensure timely responses. • Maintain a clean, organised and responsive inbox. • Provide customers with updates on orders, deliveries and backorders. • Follow up dormant quotations and other customer enquiries. • Assist customers with parcel tracking and general order enquiries. Sales Administration • Convert inbound enquiries into professional quotations. • Email quotations to customers. • Convert accepted quotations into Sales Orders. • Generate Picking Slips and Customer Invoices. • Request domestic freight pickups through online carrier portals. • Record all customer interactions in CRM. Odoo ERP Management • Maintain accurate and up-to-date data in Odoo. • Ensure ERP data remains the company's single source of truth. • Maintain overall ERP hygiene and data integrity. • Create new customer records. • Create new product records. • Record outbound stock transactions. • Raise Purchase Orders when required. Inventory & Reporting • Produce daily sales and quotation reports. • Generate inventory reports. • Monitor minimum stock levels and identify items requiring reorder. • Raise purchase orders as required. • Manage backorders and keep customers informed of expected delivery dates. Team Support • Work closely with our Australian Sales team. • Communicate professionally with customers, suppliers and internal staff. • Assist with general administrative and sales support duties as required. • Attend weekly team meetings via Zoom. Essential Requirements • Excellent spoken and written English. • Previous experience in a Sales Support, Customer Service or Internal Sales role. • Experience using Odoo ERP. • Proficient with MS365 – Outlook, Word & Excel. • High attention to detail and excellent organisational skills. • Strong computer skills and confidence using business software. • Ability to manage multiple priorities without constant supervision. • Professional, friendly and proactive attitude. • Reliable internet connection and suitable home office setup. • Your device will be connected to our Managed Endpoint Security – any required software will be provided to you including MS365. • Be online by 8:00am AEST Monday-Friday We are looking for someone who takes pride in delivering outstanding customer service, enjoys keeping systems organised and accurate, and can become an integral part of our Australian team.
