Revenue Operations & ServiceTitan Associate Type: Full-time, remote / offshore Reports to: Sales Operations Head Supports: Sales Ops and Marketing leads Hours: Must have at least 4 hours of daily overlap with US Eastern time. About the Company The company is building the trusted residential HVAC provider, one zone at a time. We partner with high-quality local HVAC companies and help them grow through better systems, stronger sales and marketing execution, operating discipline, and AI-enabled tools. This role supports the central Revenue team across sales operations, reporting, and ServiceTitan administration, with the opportunity to grow into marketing operations over time. Why This Role Exists The company is growing quickly across multiple brands. As we scale, we need cleaner systems, faster follow-up, better reporting, and tighter coordination between Sales, Marketing, and Operations. This is a hands-on operating role. The right person will help keep the revenue engine running every day by maintaining ServiceTitan and Pipedrive data, supporting sales workflows, building reports, investigating problems, and automating repetitive work. This is not a passive assistant role. We are looking for someone who can take ambiguous requests, figure out what is needed, communicate clearly, and drive work to completion. What You'll Own The core of this role is Revenue Systems and Reporting. Marketing Operations support is a stretch area you will grow into over time, not a day-one requirement. 1. Revenue Systems & ServiceTitan Administration You will help keep our core revenue systems accurate, organized, and usable. Responsibilities include: - Maintain clean, current data in ServiceTitan and Pipedrive. - Support ServiceTitan workflows, tags, reports, estimate/proposal processes, and admin cleanup. - Investigate issues when numbers do not match across systems. - Help document standard processes and system workflows. - Support sales managers, GMs, and central teams with day-to-day system questions. - Identify recurring problems and recommend fixes instead of repeatedly solving the same issue manually. 2. Sales Operations Support You will help the sales team move faster, follow up better, and keep opportunities from slipping. Responsibilities include: - Monitor uncontacted leads, open estimates, stale deals, and follow-up queues. - Send templated follow-up emails or reminders on behalf of sales managers. - Track speed-to-lead, proposal turnaround, and pipeline hygiene. - Create simple daily or weekly summaries of sales activity and exceptions. - Help sales leaders understand whether issues are caused by true activity declines, poor data capture, system problems, or missed follow-up. - Support cleanup projects across leads, jobs, estimates, proposals, and pipeline stages. - This role does not carry a sales quota. 3. Reporting & Data Reconciliation You will help create one source of truth across sales and marketing. Responsibilities include: - Build and maintain scorecards covering calls, missed calls, form fills, MQLs, SQLs, pipeline, proposals, booked jobs, close rates, revenue, and marketing attribution. - Reconcile data across ServiceTitan, Pipedrive, GA4, spreadsheets, and other tools. - Investigate discrepancies and trace them back to the source. - Turn messy data into clear summaries that help leaders make decisions. - Document metric definitions so the team knows exactly what each number means. 4. Marketing Operations Support (Stretch / Grow Into) Over time, you will help Marketing keep projects moving and organized. Responsibilities may grow to include: - Coordinate production of print, ads, email, and campaign materials. - Track specs, due dates, approvals, and stakeholder sign-off. - Follow up with internal stakeholders and external vendors. - Help organize marketing files, invoices, campaign trackers, and reporting. - Support recurring campaign operations. What We're Looking For - Exceptional Ownership This is the most important trait. You should be the kind of person who takes responsibility for solving the problem, not just completing the task. When something is unclear, you investigate. When you are blocked, you say so early. When you make a mistake, you own it and help improve the process so it does not happen again. We are looking for someone who enjoys figuring things out independently. If your first instinct is to ask for the answer before researching the issue yourself, this role is probably not a fit. - AI-Native Work Style You should already use AI tools to improve the speed and quality of your work. Relevant tools may include ChatGPT, Claude, Gemini, Claude Code, Cursor, Zapier, Make, or similar automation tools. We are not looking for someone who blindly copies AI output. We are looking for someone who knows how to use AI to research, draft, troubleshoot, automate, verify, and improve their work. - Clear Written Communication Because this is a remote/offshore role, written communication is critical. You must be able to: Give clear daily updates. Explain what you completed, what is in progress, and what is blocked. Ask specific questions instead of vague ones. Escalate issues early. Summarize findings in a way busy operators can understand quickly. Communicate professionally with internal stakeholders and vendors. - High Reliability and Follow-Through We need someone who does what they say they will do. You should be comfortable managing a task list, tracking deadlines, following up repeatedly, and making sure loose ends get closed. - Strong Systems Aptitude You should be comfortable learning business systems, understanding how data flows between tools, and identifying where processes break. Relevant experience may include ServiceTitan, Pipedrive, Salesforce, HubSpot, Zoho, NetSuite, Monday.com, Airtable, Zapier, or other CRM / ERP / workflow systems. - Sense of Urgency This role supports revenue. Leads, proposals, campaigns, and data issues cannot sit untouched for days. You should move quickly, communicate when something is delayed, and understand the difference between low-priority admin work and something that affects sales today. Required Experience - Experience administering a complex CRM, ERP, field-service, or business operations platform. - Strong spreadsheet and reporting skills. - Experience reconciling messy data across multiple systems. - Strong written English. - Experience using AI tools for work. - Ability to work independently in a remote environment. - Comfort with ambiguity and incomplete documentation. - At least 4 hours of daily overlap with US Eastern time. Strongly Preferred - Hands-on ServiceTitan administration experience. - Pipedrive experience. - Zapier or Make automation experience. - Experience in home services, field services, HVAC, trades, or multi-location service businesses. - GA4 or marketing analytics experience. - Experience supporting both Sales and Marketing teams. - EOS / Traction familiarity. Communication Expectations This role requires proactive communication. Expected working norms: - Respond promptly during agreed working hours. - Send a brief end-of-day update covering: Completed; In progress; Blocked; Questions / decisions needed. - Raise blockers early instead of waiting for a scheduled meeting. - Document repeatable work so the process improves over time. - Confirm understanding before making high-impact system changes. - Use tickets, checklists, and written updates to create visibility. What Success Looks Like A successful person in this role will: - Keep ServiceTitan and Pipedrive cleaner and more reliable. - Reduce manual admin work for Sales Ops, Marketing, and sales managers. - Catch broken workflows, stale leads, and data issues before they become bigger problems. - Produce clear reporting that leaders trust. - Use AI and automation to make recurring work faster. - Communicate clearly enough that remote work does not create uncertainty. - Earn increasing permissions and ownership over time. Step 3: Live Work Sample Finalists may complete a short live exercise involving messy data, ambiguous instructions, and a systems issue. We are looking for how you think, how you communicate, how you use tools, and how you handle uncertainty.
