Senior QuickBooks Desktop/QBO Cleanup & Reconciliation Specialist – Material Cleanup Project

We are looking for a senior QuickBooks Desktop and QuickBooks Online cleanup specialist to lead the accounting methodology and higher-level portion of a historical cleanup project. This is not routine bookkeeping and is not a full historical reconstruction. The business has records split between QuickBooks Desktop Enterprise and an existing QuickBooks Online company. The Desktop file and QBO were used in parallel for several months, resulting in overlapping and duplicate activity. A prior diagnostic confirmed: Desktop contains approximately 9,600 historical transactions. Desktop and QBO overlapped through approximately April 2026. There are known duplicate transactions between the systems. There are material issues involving a business credit card, Opening Balance Equity, Ask My Accountant, loans, A/P, A/R and owner activity. The client has selected a material cleanup, rather than migrating and reconstructing the entire historical Desktop file. The objective is to make the material current Balance Sheet and P&L reliable, reconciled and supportable while avoiding unnecessary work on immaterial historical items. A separate bookkeeping/reconciliation specialist will handle routine transaction-level work under your direction. Your Responsibilities You will be responsible for the accounting methodology and senior-level decisions, including: Confirming the Desktop-to-QBO transition methodology Reviewing material Desktop/QBO overlap Establishing duplicate-identification rules Comparing material Chart of Accounts, vendor and customer mappings Correcting the business credit-card liability structure Resolving material Opening Balance Equity issues Reviewing and approving Ask My Accountant classifications Determining owner draw/equity treatment Reviewing major loan liability treatment Establishing principal/interest methodology where supported Providing senior-level direction on material A/P and A/R differences Providing clear instructions to the reconciliation specialist Reviewing completed reconciliations Performing the final material Balance Sheet and P&L review You should delegate routine transaction matching and data cleanup rather than performing all transaction-level work yourself. Milestone Structure Milestone 1 — Accounting Methodology & Work Plan Maximum: 3 hours Expected work: Review QBB/Desktop information and QBO structure Confirm working transition methodology Identify material overlap and duplicate risk Compare material Chart of Accounts / vendors / customers Review credit card, loans, A/P, A/R, equity and Ask My Accountant structure Define the work to be completed by the reconciliation specialist Identify additional documentation required Deliverable: concise written cleanup work plan and delegation instructions. Do not proceed into substantial cleanup until this milestone is approved. Milestone 2 — Structural & Material Accounting Cleanup Maximum: 9 additional hours Expected work: Correct material credit-card accounting structure Resolve duplicate credit-card/A/P treatment Correct material Opening Balance Equity issues Review and approve Ask My Accountant treatments Review owner/equity treatment Map major loan liabilities Establish loan-payment accounting methodology Resolve senior-level A/P and A/R questions Direct the reconciliation specialist on transaction-level execution Deliverables: Updated Balance Sheet Updated P&L Summary of structural corrections List of remaining material issues Client/document questions still outstanding Milestone 3 — Final Reconciliation Review & Sign-Off Maximum: 6 additional hours After the reconciliation specialist completes the transaction-level work: Review bank reconciliations Review credit-card reconciliation Review material A/P Review material A/R Review major loans Review Opening Balance Equity / owner equity Review material P&L classifications Resolve escalated accounting issues Produce final exception list Deliverables: Final Balance Sheet Final P&L Reconciliation status by material account Exception list Supporting-document list Confirmation of material accounts reviewed and supported Total initial senior authorization: maximum 18 hours. The hour limits are maximums, not targets. Important Scope Boundary This is a material cleanup, not a full historical migration. Do not automatically: migrate all historical Desktop transactions; reconstruct all accounting back to 2020; research every immaterial historical discrepancy; perform forensic accounting; make unsupported adjustments simply to force reconciliations. If a material new problem is discovered, stop work on that issue and provide: What you found Why it matters Recommended action Additional hours required Whether it must be resolved for material accuracy or can remain on the exception list Do not exceed authorized hours without approval. Required Experience Strong hands-on experience with: QuickBooks Desktop Enterprise QuickBooks Online Desktop/QBO cleanup projects Historical reconciliation Duplicate transaction identification Credit-card liability reconstruction Bank reconciliations A/P and A/R cleanup Opening Balance Equity Owner draws/equity Loan liabilities Principal/interest treatment Material cleanup versus full historical reconstruction QuickBooks ProAdvisor certification is helpful, but hands-on cleanup experience is more important. Time Reporting Time must be reported by task. Please use: Date | Hours | Account / Task | Work Completed | Issue / Exception We do not want time entries such as: “QuickBooks cleanup — 6 hours.” Availability & Timeline — Important We are looking to begin immediately and complete the overall project within approximately 10–15 business days.
