Technical Operations Virtual Assistant

Overview We are seeking a dependable, organized, and tech-savvy Virtual Assistant to become the primary technology support person for two growing U.S.-based professional services businesses. This is a long-term role supporting the day-to-day technology that keeps our businesses running smoothly. You will maintain websites, support Google Workspace, manage business software, onboard new Providers from a technology perspective, troubleshoot issues, and help implement and maintain organized systems. Although this role is primarily internal, you will regularly work directly with our Providers. A friendly, patient, and professional communication style is essential. We're looking for someone who enjoys solving problems, learning new technology, and making systems easy for non-technical users. Core Responsibilities Google Workspace Administration • Create and manage user accounts • Configure Gmail, Calendar, Drive, Docs, Groups, and shared resources • Manage permissions and file organization • Troubleshoot login, email, and access issues • Assist with email and domain configuration when needed Website Management • Maintain and update WordPress websites • Create and edit pages and content • Install and update plugins • Coordinate with hosting providers when needed • Troubleshoot website issues • Perform routine website maintenance Business Software Support Support and maintain a variety of cloud-based business applications, including: • Google Workspace • ScheduleOnce (or similar scheduling platforms) • Family law and case management software • Clio • Zoom • Canva • CRM and intake systems • Payment and invoicing platforms • AI tools such as ChatGPT, Gemini, and similar productivity tools • Other business applications as our technology evolves You do not need experience with every platform listed, but you should be comfortable learning new software quickly and becoming the internal expert. Provider Technology Onboarding & Training Support new Providers by helping them become fully operational, including: • Creating and configuring user accounts • Setting up email, calendars, and shared resources • Configuring software access • Assisting with website-related setup • Setting up scheduling platforms • Patiently training Providers on how to use our software and technology tools • Providing support via Zoom, Google Meet, or screen sharing • Answering "how do I..." questions in a friendly and supportive manner • Troubleshooting technical issues • Creating simple user guides and documentation when needed Systems & Workflow Support • Configure software using documented procedures • Maintain organized digital systems • Create templates, forms, and checklists • Help keep technology and processes consistent across both businesses • Identify practical opportunities to simplify and improve systems General Technical Support Provide day-to-day technical assistance by: • Troubleshooting software issues • Resolving login and permission problems • Managing domains and DNS when needed • Assisting with software integrations • Helping team members and Providers resolve technology questions Ideal Candidate You: • Have experience supporting technology for a small business or professional services organization. • Are comfortable administering Google Workspace. • Have experience maintaining WordPress websites. • Understand domains, DNS, email configuration, and cloud-based software. • Learn new software quickly and enjoy figuring things out. • Can explain technical concepts clearly to non-technical users. • Enjoy teaching others and helping them become confident using technology. • Are patient, encouraging, and able to adapt your communication style to different learners. • Are organized, dependable, and proactive. • Take ownership of projects from start to finish. • Communicate progress and potential issues before they become problems. • Can follow established processes while making thoughtful recommendations for improvement. Nice to Have Experience with: • ScheduleOnce • Clio • Law firms, especially with Family law or case management software • Zapier or other integration tools • Basic HTML/CSS • AI productivity tools Hours This is an ongoing, long-term contract position with flexible hours. Workload varies based on business needs, including onboarding new Providers, website updates, software implementations, technology projects, and day-to-day support requests. Some weeks may require only a few hours, while others may involve more time during Provider onboarding or larger technology initiatives. We are looking for someone who can provide reliable availability, communicate proactively, and grow with our businesses over the long term. Screening Questions Please answer the following: 1.
