Virtual Assistant for Email Marketing Studio

We are a small, boutique email marketing studio managing Klaviyo for australian ecommerce brands. As we grow, I need a reliable pair of hands for around 5 hours per week to help with the production side of things with opportunity for more work for the right person. This is not a marketing role. It's a production and admin role, and it suits someone who genuinely enjoys the detail work, getting things into platforms correctly, catching errors before they go out, and keeping things tidy. What you'll actually be doing: → Exporting finalised designs from Figma and uploading them into Klaviyo each week → Making small copy or design tweaks directly in Figma, or flagging changes to the designer when needed, then passing back to me for review → Adding subject lines, preview text, links, segmentation and alt text to campaigns → Scheduling campaigns on a weekly basis → Reviewing your own work and flagging anything that looks off before it's sent → Updating client email strategy spreadsheets in Google Sheets with preview links and campaign details → Putting together weekly and monthly reporting docs for clients → Writing simple briefs for graphic designers based on campaign needs → Assisting with client onboarding, including chasing assets, logins, and anything else needed to get accounts set up What I'm looking for You have real, hands-on experience inside Klaviyo. You know how to upload image-based designs, configure dynamic content, and schedule campaigns for 7 figure brands. You have some Figma experience or able to pick it up quickly. Nothing complex, I need you to be able to export files and make small copy or design tweaks when needed, and know when something is beyond a quick fix and needs to go back to the design team. You're comfortable working in Google Sheets and keeping records accurate and up to date. You notice things. A wrong link, a typo, an image that didn't load correctly and can catch it before it becomes a problem. This role is not for: Graphic designers, email marketing specialists, or marketing strategists.
