Virtual Assistant for Specialty Coffee Brand

Pixies Brew is a specialty coffee brand built around ritual, presence, and the small moments that steady a day. We’re growing quickly and need a Virtual Assistant who loves structure, appreciates good systems, and enjoys bringing a little order to creative chaos. If you’re the type who finds satisfaction in a clean inbox, a well-tagged spreadsheet, or a perfectly organized Drive folder, you might be our person. What You’ll Handle 1. Inbox, DM & Threads Social Media Management - scheduling, comment, response. 2. Customer Service & Documentation - Spot patterns: if three people ask the same question, we want to know 3. Influencer & Wholesale Research + Tracking Find creators and partners who genuinely fit our brand Build clean outreach lists with notes that actually make sense Track conversations, follow-ups, gifting, and affiliate codes Maintain our wholesale lead pipeline and help keep momentum steady 4. Shopify Admin Maintenance Update product pages and FAQs (we provide the copy) Upload images and keep details crisp and accurate 5. Vendor & File Management Request quotes and keep vendor details straight Manage files, name them clearly, and make sure nothing gets lost Track invoices, lead times, and production timelines 6. ClickUp Project Hygiene Update tasks as things move Add notes, links, and files where they belong Prepare simple weekly summaries of what’s moving and what’s stuck 7. Meta Advertising Upload & Management Upload approved ad creatives, captions, and links into Meta Ads Manager Track ad statuses and flag issues (no troubleshooting expected) Coordinate with the team when new creatives need to be prepared or rotated Keep the ad library organized so nothing gets lost in the chaos Prepare weekly advertising reports What We’re Looking For: Kind, reliable, and detail-oriented Experience as a VA or in operations/project coordination Comfortable with Meta, Shopify, ClickUp, Notion, and Google Workspace Calm energy. Good judgment. Strong follow-through.
