Overview We are seeking a dependable and detail-oriented website designer to support our organization on an ongoing, as-needed basis. This is not a full-time position or a one-time website redesign. We need a long-term professional who can complete individual website updates, design improvements, maintenance tasks, and technical troubleshooting requests as they arise. The ideal freelancer combines strong visual-design skills with practical knowledge of website administration, hosting, domains, forms, integrations, and basic technical support. We want someone who can make polished design changes while also identifying and resolving problems that affect the website’s functionality. Assignments may include: Website content and design • Adding or updating website text, photographs, graphics, and downloadable files • Creating new pages and landing pages • Updating existing page layouts • Improving typography, spacing, colors, and visual hierarchy • Ensuring new content matches our existing branding • Updating staff profiles, service descriptions, announcements, and contact information • Creating clear calls to action • Reorganizing menus and navigation • Improving the appearance of forms, buttons, banners, and page sections • Removing outdated or duplicate content Mobile responsiveness and usability • Correcting pages that do not display properly on phones or tablets • Improving navigation across desktop and mobile devices • Fixing overlapping, cropped, misaligned, or unreadable content • Improving page flow and visitor experience • Identifying confusing links, buttons, menus, or forms • Making reasonable accessibility improvements Forms and integrations • Creating or updating contact, referral, employment, and inquiry forms • Testing whether form submissions are being delivered correctly • Connecting forms to the appropriate organizational email addresses • Troubleshooting notification failures • Updating confirmation messages and automated responses • Connecting approved third-party tools or services • Testing integrations after changes are completed Technical website support • Troubleshooting broken pages, links, images, menus, and forms • Identifying plugin, theme, or integration conflicts • Completing approved plugin, theme, or platform updates • Addressing basic hosting or domain-related website issues • Coordinating with our hosting provider when necessary • Assisting with website-related email-delivery problems • Reviewing DNS or SMTP settings when directly relevant to website functionality • Diagnosing error messages or unexpected website behavior • Restoring functionality after approved updates Performance and maintenance • Improving page-loading performance • Compressing and optimizing website images • Reviewing unnecessary plugins or extensions • Checking for broken links • Monitoring general website functionality • Recommending appropriate backups before significant changes • Performing routine maintenance when requested • Documenting important technical or administrative changes How assignments will work Work will be requested as individual assignments. Before starting each assignment, the freelancer should provide: • A brief understanding of the request • An estimated completion time • An estimated number of hours or fixed-price amount • Any information or access needed • Notice of any anticipated third-party fees Work must remain within the approved scope and budget. Additional work should not be performed without written approval. Some assignments may be minor updates that take less than an hour. Others may involve several hours of design, testing, or troubleshooting. The amount of work will vary, and we cannot guarantee a minimum number of hours. The selected freelancer must: • Communicate clearly and professionally • Acknowledge new requests within an agreed timeframe • Provide realistic completion estimates • Notify us promptly if a request is more complex than expected • Test all changes before reporting completion • Check changes on desktop and mobile devices • Avoid making unrelated changes • Preserve the website’s branding and existing functionality • Back up or confirm recoverability before significant changes • Explain technical issues in understandable language • Provide a brief completion summary for each assignment • Maintain the confidentiality of organizational information • Use secure methods for account access • Never share, reuse, or retain passwords or confidential information • Return or remove access when an assignment or working relationship ends Completion requirements An assignment will be considered complete when: 1. The approved work has been implemented. 2. The website functions correctly after the change. 3. The work has been tested on relevant desktop and mobile views. 4. Any forms, links, or integrations affected by the change have been tested. 5. The freelancer provides a short summary of the work completed. 6. Any remaining concerns or recommendations are clearly documented. Preferred qualifications We prefer candidates with experience in: • Professional website design and maintenance • Responsive desktop and mobile design • Content-management systems such as WordPress, Wix, Squarespace, Webflow, or similar platforms • HTML and CSS • Basic JavaScript troubleshooting • Website forms and automated notifications • Plugins, themes, and third-party integrations • Website hosting and domain administration • DNS, SSL, SMTP, and email-delivery troubleshooting • Website performance and image optimization • Accessibility and usability best practices • Supporting healthcare, behavioral-health, nonprofit, or professional-service organizations Experience with privacy-sensitive organizations is strongly preferred. The freelancer must understand that access to the website does not authorize access to confidential client or patient information. This will be an ongoing, as-needed Upwork contract. Depending on the assignment, work may be authorized as: • Hourly work with a defined weekly limit; or • A fixed-price milestone with specific deliverables Each assignment must be approved before work begins. Payment will be based on completed and verified work. Any additional expenses, premium plugins, subscriptions, licenses, hosting upgrades, or third-party services must receive advance approval. A small paid trial assignment may be used to evaluate communication, quality, accuracy, and reliability before assigning ongoing work. Availability Please include: • Your time zone • Your normal working hours • Your average response time • Your availability for urgent website problems • Whether you are available for occasional meetings • Your anticipated turnaround time for small updates • Your hourly rate • Any minimum billing requirement We do not expect continuous availability, but we need clear communication about when requests can be reviewed and completed.
