Xero Accounting Assistant — AR/AP, Invoicing, Ramp Reconciliation & Vendor Payments

**Title:** Xero Accounting Assistant — AR/AP, Invoicing, Ramp Reconciliation & Vendor Payments We are a print and promotional products company looking for a detail-oriented accounting assistant to help manage invoicing, accounts receivable, vendor bills, reconciliations, Ramp charge review, and financial documentation. We use **Xero** for accounting and **commonsku** for order records. Experience with Xero is required. Experience reviewing order information inside commonsku is a plus. **Primary Responsibilities:** * Create and send customer invoices in Xero * Enter and track vendor bills * Match customer invoices against orders and purchase records * Track unpaid invoices and accounts receivable * Prepare aging reports and collections follow-up lists * Reconcile payments, invoices, vendor bills, and deposits * Reconcile Ramp card charges and match them to vendors, jobs, receipts, and supporting documentation * Review vendor payment records and confirm correct payment method and status * Assist with vendor payments via Wise/TransferWise, ACH, and credit card * Flag missing invoices, missing bills, duplicate charges, margin issues, or payment delays * Maintain clean accounting records and supporting documentation * Provide daily summaries of completed accounting work **Security & Accountability Requirements:** * Must follow strict confidentiality rules and sign an NDA * Must use 2FA and secure password practices * Must work only inside approved company systems * No outside sharing of financial, customer, vendor, banking, or pricing information * Must keep a clear audit trail for all accounting work * Must be comfortable with spot checks and performance review **Experience Required:** * Strong experience with Xero * Accounts receivable and accounts payable experience * Invoice creation and vendor bill entry experience * Bank, card, and payment reconciliation experience * Experience reconciling business credit card charges, preferably Ramp * Experience supporting vendor payments via ACH, credit card, and Wise/TransferWise * Strong spreadsheet skills * Strong written English * High attention to detail * Ability to work independently and provide clear status updates **Experience Preferred:** * Experience with commonsku * Experience with Ramp * Experience with print, promotional products, apparel, fulfillment, or vendor-based businesses * Experience cleaning up overdue invoices, unreconciled charges, or disorganized accounting records **To Apply, Please Answer:** 1.
