We are not looking for someone to complete a short-term project or contract. ⸻ About Our Business We operate motorcycle and powersports businesses across Australia and New Zealand with integrated business systems including: * Xero * Tradevine (Dealer Management & Inventory System) * Inventory Management System * Freight & Logistics Systems * Internal Dealer Portal Our systems are connected together, meaning the accounting side affects inventory, dealer orders and logistics. Because of this, attention to detail is extremely important. ⸻ About the Role This is much more than a normal bookkeeping position. We’re looking for someone who understands how accounting systems interact with inventory and operational systems, and who is comfortable working with integrated software. You will become one of the key people responsible for ensuring our financial records remain accurate while protecting the integrity of our inventory system. ⸻ Key Responsibilities Xero * Code supplier invoices correctly. * Process bank transactions. * Accounts Payable. * Accounts Receivable. * Bank reconciliations. * Credit card reconciliations. * Monthly reconciliations. * Prepare monthly management reports. * Assist with BAS/GST requirements where required. * General bookkeeping. ⸻ Tradevine & Inventory Our Xero system integrates with Tradevine and our inventory software. Incorrect coding can automatically trigger inventory movements, including moving products into an “Awaiting Shipment” status. Because of this, you must: * Understand how integrated inventory systems work. * Double-check coding before processing. * Never process transactions if you are unsure. * Ask questions whenever something appears unusual. * Help identify process improvements to reduce errors. Accuracy is far more important than speed. ⸻ Freight Invoice Auditing We spend significant amounts on freight each month. Part of your role will be reviewing freight invoices from Team Global Express (formerly Toll/TGE) and other freight providers. Responsibilities include: * Checking invoices against shipments. * Identifying overcharges. * Identifying duplicate charges. * Identifying incorrect pricing. * Contacting Team Global Express via phone or email. * Lodging disputes. * Following up until credits are received. * Keeping records of outstanding claims. ⸻ Monthly Reporting Prepare monthly reports including: * Profit & Loss * Balance Sheet * Outstanding creditors * Outstanding debtors * Inventory reconciliation (where applicable) * Summary of issues found during the month * Recommendations for improvements ⸻ Continuous Improvement We are constantly improving our systems. We want someone who can: * Suggest better accounting processes. * Improve efficiency. * Identify recurring mistakes. * Help streamline workflows between Xero, Tradevine and our inventory systems. ⸻ Requirements * Extensive experience using Xero. * Experience with Australian bookkeeping. * Experience with New Zealand bookkeeping. * Strong reconciliation skills. * Excellent attention to detail. * Experience working with inventory-integrated accounting systems. * Able to work independently. * Excellent written and spoken English. * Professional communication skills. * Comfortable working with large transaction volumes. ⸻ Communication Communication is extremely important.
