Zoho People Implementation + ZKTeco Biometric Integration + Custom Automation

We are a Delhi-based law firm (approximately 20 staff, 6 practice teams) implementing Zoho One across our organisation. This is Phase 1 of a 5-phase project. The contractor hired for this phase will be evaluated for the full engagement. WHAT THIS PHASE COVERS We need Zoho People configured as our HR and attendance system, including: • Employee records and org structure for ~20 staff across 6 departments. • Leave policy: 20 days/year with a custom 2-2-1 monthly accrual pattern per quarter, two leave types (planned and unplanned), and a sandwich/prefix-suffix rule on unplanned leave only. • Attendance shift: 10:00 AM start, 10:15 AM clock-in cutoff. • Custom tardiness deduction automation: employees arriving after 10:15 AM are marked late. Up to 3 late marks per calendar month are forgiven. Beyond that, 1 day of leave is deducted for every 3 additional late days. This logic must be built as a Zoho Creator custom function triggered via Zoho Flow at end of each month. • Biometric integration: 4 ZKTeco devices across 2 entry points (Main Entrance and Back Entrance, each with one outside and one inside device). All on the same subnet. Direct network sync to Zoho People — no CSV export. First punch of day = check-in. Last punch of day = check-out. All intermediate punches must be retained. • Movement analytics: a Zoho Creator operational report and a Zoho Analytics dashboard showing each employee's in/out movement throughout the day — exit time, return time, duration, and a VERIFIED or UNVERIFIABLE status. Unverifiable records (missing punch on one side, consecutive same-direction punches) must be flagged with a specific reason. THIS IS A FIXED-PRICE ENGAGEMENT Payment is released by milestone on verified completion. There are 6 milestones. You must submit a per-milestone price breakdown with your proposal. A detailed scope of work document is attached — read it before bidding. WHAT WE ARE LOOKING FOR • Demonstrated experience configuring Zoho People with custom leave accrual patterns — not just flat annual leave. • Demonstrated experience building Zoho Creator custom functions and Zoho Flow automations that interact with Zoho People attendance or leave data. • Demonstrated experience integrating ZKTeco biometric devices directly with Zoho People via network sync — not CSV. Must be able to name the model and method used. • Experience with multi-device setups where punch direction (entry vs exit) must be inferred from device placement. • Experience building Zoho Analytics dashboards connected to Zoho Creator data. • Zoho Authorised Partner status preferred but not mandatory if direct experience is demonstrable. • India-based or significant IST overlap. English communication required. WHAT GOOD PROPOSALS LOOK LIKE We will not consider generic proposals. A strong proposal answers the 4 screening questions specifically, references the attached scope document, and provides a clear milestone price breakdown. Proposals that do not answer the screening questions will be declined. ABOUT THE BROADER PROJECT This is Phase 1 of a 5-phase Zoho One rollout covering Zoho People, Zoho Creator, Zoho CRM, Zoho Sign, Zoho Flow, Zoho Books, and Zoho Recruit. A contractor who performs well on Phase 1 will be offered the remaining phases directly without re-posting. We are looking for a long-term implementation partner, not a one-off vendor.
