n8n + Airtable + Multi-LLM Automation MVP for Healthcare/MedTech Advisory

I am looking for an experienced n8n / Airtable / AI automation expert to build a lean internal workflow MVP for a professional services business. The goal is to create an intake and workflow automation system that can handle multiple input channels and turn them into structured project records, draft outputs and research workflows. The MVP should include three intake routes: 1. Website Form Intake * Clients or prospects should be able to submit a request through a website form. * The form should capture basic project information such as contact details, topic, request type, geography, timeline, uploaded files if applicable and a short description of the need. * The submitted information should create a structured record in Airtable. * The system should classify the request and suggest the next workflow step. 2. Manual/Internal Intake * I should be able to create or update intake records myself directly in Airtable or via a simple internal form. * The same downstream workflow should be triggered from manually created records. * This should support internal project ideas, client discussions, research topics and follow-up tasks. 3. Email Intake * The system should detect and classify selected incoming Gmail messages based on sender/domain and content. * It should extract key information such as topic, request type, deadline and relevant questions. * It should create or update a structured record in Airtable. * It may generate a draft response where relevant, but emails must only be created as drafts. No automatic sending. Core workflow requirements: * n8n as workflow orchestrator * Airtable as control database * Website form or embedded intake form * Gmail intake and Gmail draft creation * Google Drive / Google Docs integration * LLM/API integration for extraction, classification, drafting and summarization * JSON-based data handoff between workflow steps * Error handling and logging * Secure credential handling * Human approval before any external communication The MVP should support the following workflow stages: * Intake received * Classification * Research preparation * Source collection * Structured summary / outline generation * Draft response or next-step recommendation * Human review * Completed / archived Nice to have: * Experience with OpenAI API and Anthropic Claude * Experience with web search APIs * Experience with document extraction workflows * Experience with Airtable Interfaces or forms * Experience with self-hosted n8n * EU/GDPR awareness Important requirements: * No automatic email sending. * Human approval must remain part of the process. * Prompts should be editable. * Workflow runs should be logged. * The setup should be documented and handed over properly. * The MVP should remain lean and focused, not a full enterprise platform.
