# QuickBooks Online ProAdvisor / CPA Needed – Multi-Entity Setup for Startup National Company ## Project Overview We are launching a national veterinary facility services company with multiple LLCs and are seeking an experienced **QuickBooks Online ProAdvisor, CPA, or senior accountant** to build our accounting foundation correctly from day one. This is a **new implementation** with no historical bookkeeping. We are looking for someone who has extensive experience designing accounting systems for **multi-entity businesses**, preferably with holding companies, operating subsidiaries, or franchise-like organizations (although this is **not** a franchise). The ideal candidate will think beyond basic bookkeeping and help establish a scalable accounting structure that can support dozens of future operating entities. --- ## Initial Companies to Create Create and configure four new QuickBooks Online companies: 1. Rescue Facility Care LLC (Parent Company) 2. Rescue Facility Care of South Jersey LLC 3. Rescue Facility Care of Tampa Bay LLC 4. Rescue Facility Care of Orlando LLC Each company has its own FEIN, bank accounts, ownership structure, and financial reporting requirements. --- ## Scope of Work ### 1. QuickBooks Online Company Setup * Configure each new QuickBooks Online company from scratch * Apply consistent accounting settings across all companies * Configure fiscal year, accounting preferences, numbering, and reporting settings * Establish a scalable naming convention --- ### 2. Build Standardized Chart of Accounts Create a standardized chart of accounts across all four companies. The Parent and Local Market companies will share nearly identical account structures with appropriate entity-specific differences. The chart of accounts should include: * Assets * Liabilities * Equity * Revenue * Cost of Goods Sold * Operating Expenses * Intercompany Accounts * Management Fee Accounts * Due To / Due From Accounts * Owner Equity Accounts * Investor Equity Accounts * Regional Operating Member Equity Accounts Account numbering should be standardized to support future consolidation. --- ### 3. Equity Structure Configure equity accounts to support our Operating Agreement. Each Local LLC includes: * Parent Company ownership * A Unit Investor ownership * B Unit Regional Operating Member ownership Create appropriate accounts for: * Capital Contributions * Member Capital * Member Distributions * Retained Earnings * Current Year Earnings --- ### 4. Intercompany Accounting Design the accounting structure for: * Due To Parent * Due From Parent * Intercompany Receivables * Intercompany Payables * Management Fees * Shared Services * Platform Fees The structure should support clean monthly reconciliations. --- ### 5. Banking Structure Configure bank accounts within QuickBooks for each entity, including: * Operating Checking * Tax Reserve * Distribution Reserve * Emergency Reserve * Payroll/Contractor Clearing * Equipment Reserve (if appropriate) No transactions need to be entered. --- ### 6. Revenue & Expense Categories Configure accounts for: Revenue * SaaS Subscription Revenue (Parent) * Technician Labor Revenue * After-Hours Labor * Concierge Services * Cleaning Services * Project Services * Material Reimbursements * Vendor Pass-Through Revenue Cost of Sales * Technician Subcontractors * Materials * Vendor Costs * Travel * Warranty/Callbacks Operating Expenses * Insurance * Marketing * Software * Office * Professional Fees * Vehicle Expenses * Recruiting * Training * Management Fees --- ### 7. Future Scalability The accounting structure should support future expansion to dozens of local operating companies without redesigning the chart of accounts. --- ## Deliverables * Four fully configured QuickBooks Online companies * Standardized chart of accounts implemented across all entities * Equity accounts configured for our ownership structure * Intercompany accounting structure established * Banking accounts configured * Revenue and expense categories established * Written documentation explaining the accounting structure and rationale * Recommendations for future expansion and best practices --- ## Preferred Qualifications * QuickBooks Online Advanced experience * Certified QuickBooks Online ProAdvisor * CPA preferred but not required * Experience with multi-entity accounting * Experience with holding companies or operating subsidiaries * Strong understanding of LLC capital accounts and member equity * Experience designing scalable chart of accounts * Ability to provide recommendations rather than simply following instructions --- ## Nice to Have Experience with: * Ramp * Stripe * Multi-entity reporting * Intercompany accounting * Service businesses * Construction or field service accounting --- ## Please Include in Your Proposal 1.
