POSITION OVERVIEW The Sales Promotions Assistant supports the planning, preparation, and submission of promotional campaigns across multiple sales channels. This role is responsible for ensuring promotions are submitted correctly, tracked, and confirmed before deadlines. The position requires strong organizational skills, advanced Excel proficiency, and consistent follow-through. The assistant will work closely with management and internal teams to gather required data for promotions and ensure all information is accurate before submission. This role requires a high level of responsibility and accountability, as promotions must be monitored and followed up on until they are fully confirmed and scheduled. KEY RESPONSIBILITIES Promotion Submission & Tracking • Prepare and submit promotional requests across sales channels and retailer portals. • Maintain organized records of all promotion submissions, approvals, and campaign details. • Track promotions from submission through confirmation to ensure they are properly scheduled. • Follow up with partners or internal teams until promotions are fully confirmed. Follow-Up & Coordination • Follow up with management and relevant departments to gather all required data needed for promotion submissions. • Ensure promotional details such as pricing, product lists, discount structures, and campaign dates are complete before deadlines. • Monitor upcoming promotional deadlines and proactively communicate missing information. Data Management & Excel Responsibilities • Use advanced Excel or Google Sheets skills to perform calculations related to promotional pricing, margins, discounts, and campaign planning. • Create and maintain spreadsheets used for tracking promotions, pricing adjustments, and campaign performance. • Review calculations and verify promotional data accuracy before submissions are made. Accountability & Process Ownership • Take ownership of assigned promotional campaigns and ensure they are completed accurately and on time. • Maintain clear tracking of pending submissions and follow up regularly until confirmations are received. • Communicate status updates to management regarding promotion approvals and outstanding items. Accuracy & Issue Resolution • Maintain a high level of attention to detail when preparing promotional submissions and calculations. • If mistakes occur, take responsibility for identifying the issue and correcting it promptly. • Work proactively to investigate discrepancies and ensure errors are resolved quickly and properly. REQUIRED QUALIFICATIONS • 1–3 years of experience in marketing, promotions, sales support, or administrative coordination preferred. • Advanced proficiency in Microsoft Excel or Google Sheets. • Strong organizational and time-management skills. • Excellent attention to detail and ability to manage multiple deadlines. • Strong communication and follow-up skills. PREFERRED SKILLS • Experience with retail or e-commerce promotional campaigns. • Familiarity with retailer portals or online marketplace systems. • Experience managing promotional calendars or campaign trackers. KEY TRAITS • Accountability – Takes ownership of assigned tasks and follows through until completed. • Responsibility – Maintains accuracy and reliability when handling promotions and calculations. • Proactive Communication – Follows up with management and teams to gather required information. • Attention to Detail – Ensures promotional pricing and calculations are accurate. • Organization – Maintains clear records and tracking systems for promotions. IMPORTANT EXPECTATIONS Promotions often involve multiple deadlines and stakeholders. The Sales Promotions Assistant must be comfortable following up with management and internal teams to gather required data and ensuring promotions are completed and confirmed on time. Accuracy and accountability are critical in this role. If errors occur, the expectation is that the individual takes responsibility, works quickly to resolve the issue, and implements corrections to prevent repeat mistakes.
