Sales & SEO Proposal VA / Sales Operations Assistant Needed for SEO Agency

We are an SEO agency looking for a detail-oriented VA / Sales Operations Assistant to help support our sales and business development process. This role is ideal for someone who is organized, comfortable working with templates, and able to carefully follow instructions while also asking smart questions when something is unclear. A big part of our sales process involves preparing complimentary SEO reviews, keyword research, competitor research, proposals, and sales documents for prospects. We already have templates and processes, but I need someone who can help prepare, organize, tweak, and QA these materials so they are ready for sales calls and follow-ups. What you’ll help with: You may be helping with tasks like: * Preparing SEO proposal documents using our existing templates * Updating SEO review presentations in Google Slides * Adjusting slides based on prospect industry, keywords, competitors, and sales notes * Organizing keyword research and competitor research * Preparing sales call materials before meetings * Cleaning up notes from calls and helping turn them into next steps * Formatting Google Docs, Google Sheets, and Google Slides * Helping prepare proposal materials for services like SEO, AI Visibility, content, and link building * Using ChatGPT with our instructions/processes to speed up prep work * Double-checking documents for consistency, formatting, spelling, and missing details * Helping keep sales materials organized and easy to find Tools you may use: Experience with all of these is not required, but comfort with similar tools is helpful: * Google Docs * Google Sheets * Google Slides * ChatGPT * Ahrefs, SEMrush, or similar SEO tools * PandaDoc or proposal software * Fathom / call transcript tools * Basic project management tools What we’re looking for: The most important qualities are: * Strong attention to detail * Ability to follow step-by-step instructions * Good written English * Comfortable working from templates * Willingness to ask questions instead of guessing * Organized and reliable * Comfortable learning SEO and sales processes * Able to take rough notes, research, or instructions and turn them into clean deliverables * Experience supporting an agency, consultant, sales team, or marketing team is a plus You do not need to be an SEO expert, but some familiarity with SEO, keyword research, websites, marketing, or agency work is a plus. Trial task: We will likely start with a paid trial task. The first task may be more detailed because we want to see how well you follow instructions, communicate, and work with our templates.
