Finance & Operations Admin (Property Operations) We are hiring a Finance & Operations Admin to bring structure, financial control, and operational discipline into a fast-moving property business. This role exists to solve real operational problems: * Expenses are growing too fast * Cash flow visibility is weak * Team spending lacks oversight * Weekly P&Ls arrive late * Financial reporting is inconsistent * Leadership lacks reliable operational data We do not need a passive administrator. We need someone highly organised, financially disciplined, urgent, and proactive — someone who takes ownership, follows through relentlessly, and removes operational friction before problems escalate. You will work closely with and report directly to the Senior Bookkeeper. Your job is to improve operational clarity, tighten financial controls, and ensure leadership always has accurate financial visibility. ⸻ What You’ll Be Responsible For Financial Operations * Schedule and manage outgoing payments accurately and on time * Chase overdue tenant rent payments consistently and professionally * Maintain accurate bookkeeping categories and financial records * Prepare organised books and supporting documentation for accounts * Work directly with the Senior Bookkeeper on reconciliations and reporting * Track expenses, liabilities, and cash flow requirements * Ensure weekly P&Ls and financial reports are delivered on time without excuses Expense & Cash Flow Control * Monitor operational spending and flag unnecessary costs * Help create tighter controls around team expenses and approvals * Identify financial inefficiencies and operational waste * Improve visibility across company spending and supplier costs Reporting & Operational Visibility * Maintain accurate, decision-ready financial data * Support reporting needed for operational oversight and acquisitions * Track KPIs relating to collections, expenses, cash flow, and profitability * Ensure leadership has fast access to reliable financial information Vendor & Operational Coordination * Manage finance and operations inboxes efficiently * Coordinate with landlords, vendors, suppliers, and contractors * Follow up aggressively on invoices, missing payments, and unresolved issues * Escalate financial risks or operational bottlenecks quickly * Ensure tasks are completed properly without repeated follow-up ⸻ What We’re Looking For Strong Candidates Will: * Be highly organised under pressure * Have strong finance admin or bookkeeping experience * Move quickly while maintaining accuracy * Take ownership instead of waiting for instructions * Be comfortable chasing payments and enforcing accountability * Solve problems independently * Communicate clearly and professionally * Build systems and structure rather than relying on memory * Have strong Excel or Google Sheets skills * Care deeply about operational standards and follow-through ⸻ This Role Is NOT For You If: * You miss deadlines regularly * You need constant supervision * You avoid difficult conversations around money * You struggle with urgency or prioritisation * You are reactive instead of proactive * You make excuses instead of solving problems * You prefer slow, heavily layered corporate environments ⸻ Success In This Role Looks Like * Weekly P&Ls arrive consistently and on time * Cash flow becomes predictable and visible * Expenses reduce through tighter controls * Financial reporting becomes accurate and actionable * Vendors, landlords, and tenants are handled efficiently * Leadership gains real operational visibility * Problems are solved before they become escalations ⸻ To apply, send: 1.
