As our business continues to grow, we're looking for a highly organized Operations & Executive Assistant to help keep projects, timelines, communications, and administrative tasks running smoothly. This is a long-term role with significant growth potential for the right candidate. What is your favorite animal? Responsibilities: Executive Support Manage founder calendars and scheduling Coordinate meetings with manufacturers, vendors, partners, and contractors Prepare meeting agendas and document meeting notes Track action items and follow up on outstanding tasks Operations Management Maintain product launch timelines and production schedules Document manufacturing progress and key milestones Track inventory arrivals and shipment timelines Organize and maintain operational documentation Vendor & Manufacturer Coordination Monitor communications with domestic and overseas manufacturers Maintain production tracking spreadsheets and project boards Follow up on pending updates, invoices, and deliverables Document key decisions and changes throughout production Financial & Administrative Support Track vendor payments and invoice due dates Maintain payment schedules and documentation Organize receipts and operational records Assist with bookkeeping preparation and reporting Project Management Keep ClickUp, Asana, Monday, or similar project management systems updated Ensure deadlines are visible and tracked Maintain SOPs and internal documentation Help identify bottlenecks and process improvements Requirements Exceptional organizational skills Strong written and verbal English communication Experience supporting executives, founders, or small business teams Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar) Comfortable learning new software and systems Strong attention to detail Ability to work independently and proactively Preferred Qualifications Experience working with e-commerce brands Experience coordinating with manufacturers or suppliers Familiarity with Shopify operations Experience with ClickUp, Asana, Monday, or similar tools Basic understanding of inventory management and supply chain processes
