4 Ways I’m Using AI To Create Efficiencies Every Day

The transformative power of Artificial Intelligence (AI) is hard to ignore, especially as it becomes more integrated into our daily work processes. From marketing to sales to compliance, AI can be an invaluable tool for people looking to streamline their operations and improve efficiency.

As I walk through four specific use-cases where I've personally harnessed the power of AI to improve efficiency of my work routines and save valuable time, I invite you to think about how AI could be implemented into your workflow, improve your efficiency, and redefine the way you perceive your daily tasks.

Prompts and their role in AI communication

The first step in using AI is to understand how to use and communicate with AI tools by using “prompts.” A prompt is a statement or question that initiates a dialogue or triggers an action from an AI model. It acts as a guide to the kind of response you are wanting as a result of using AI.

For instance, if you're using an AI writing tool and you start with "write a paragraph about the life cycle of a butterfly," that sentence is your prompt. Based on this input, the AI model generates a relevant response, such as a brief overview of the butterfly's life cycle stages.

Crafting Effective Prompts

The effectiveness of an AI result heavily relies on how detailed your prompts are. Here are a few tips to get you started.

Be specific: If you want a specific type of response, be explicit about it in your prompt. Instead of asking "tell me about dogs," which could result in a broad range of information, ask something like "describe the different breeds of dogs in South America."

Contextualize: The more context you give to AI, the better it can customize its response. For example, if you're asking the AI to write a blog post, don't just say "write a blog post about AI." Instead, you could say, "write an SEO-optimized blog post with a minimum of 2,000 words about the practical uses of AI in healthcare and include catchy titles for all sections, including an introduction and conclusion paragraph."

Guide the structure: You can instruct the AI about the structure or format you want. If you're looking for a bullet-point list, include that in your prompt: "List the top five tourist destinations in bullet points." You can also include requests for tone, such as “humor,” in your prompt.

Experiment and evolve: If your initial prompt doesn't give the output you were hoping for, don't hesitate to tweak your prompt and try again. AI models, though advanced, are not perfect. Sometimes, it may take a few tries to get the output you're seeking.

The understanding of prompts is critical in directing AI to produce useful, accurate, and contextually appropriate responses. By learning to craft effective prompts, you can significantly enhance your experience and productivity with AI.

1. Pre-sales use case: Automating a business requirements document with GPT-4

The issue: In my world, the creation of a Business Requirements Document (BRD) is a critical step in any software development project. Traditionally, it involves converting the details from discovery call discussions into a structured format, which serves as the roadmap for how a software application will provide a solution to our client’s business goals. The process is intricate and time-consuming, often requiring more than 50 hours to complete.

The primary challenge lies in the level of detail needed in a BRD. Every feature and functionality needs to be clearly articulated to avoid confusion during the development phase. Additionally, ensuring that nothing is lost in translation from the discovery call discussions can be an uphill battle.

The solution: Since the release of GPT-4, an AI model developed by OpenAI, I am able to generate a comprehensive BRD within an hour, keeping money in our client’s pocket to use toward development.

I was recently in a 2-hour discovery call session with a client and used GPT-4 to generate a BRD based on the call transcript and a summary of notes that I organized. GPT-4 took the key discussion points and, using its understanding of software development and business requirements, produced a detailed, well-structured BRD. This document covered everything from the project's objectives and target users to its functional and non-functional requirements.

The results: By leveraging GPT-4, I was able to save over 49 hours of work usually allocated to the BRD creation process. But it's not just about the time saved. The accuracy and comprehensiveness of the AI-generated BRD reduced the risk of misunderstandings during the development phase, contributing to a smoother project lifecycle.

2. Marketing use case: Rapid blog post generation with Jasper and SurferSEO

The issue: Content creation is the lifeblood of any successful marketing strategy. However, creating compelling, SEO-optimized content consistently is a challenge, given the time and resources required.

The solution: Jasper (previously Jarvis) and SurferSEO are two of my favorite content generating AI tools that I've found beneficial for rapid blog post generation. Jasper is an AI-powered copywriting tool that can generate high-quality content, while SurferSEO provides SEO analysis to optimize the content for search engines. Using the Jasper integration within SurferSEO can be a powerhouse for creating unique content to help boost organic website traffic.

To create a blog post, I start by feeding a topic and some key points into Jasper. Jasper then creates a draft with broken down sections, including introductions, subheadings, and conclusions. Then SurferSEO takes that draft and does an SEO analysis and provides suggestions, such as keyword placement and content length.

The results: With this process, what used to take days to create a SEO-optimized, engaging blog post can now be done in less than an hour. The time saved allows me to focus more on strategic planning and other marketing efforts while reducing overhead for our business and enabling us to increase valuable organic search engine traffic.

3. Sales use case: Personalized email outreaches with GPT-4 plugin

The issue: For email outreaches these days, personalization is key to building meaningful messaging that speaks to clients on how your solution or service can solve direct challenges they are experiencing. However, researching individuals and companies for personalized outreach can be incredibly time-consuming.

The solution: I use the GPT web browsing feature (beta) to alleviate this burden. This plugin can sift through heaps of online data about a prospect—from social media profiles to company websites—and generate an insightful brief. The brief includes details about the prospect's interests, needs, and pain points, which I can then use to personalize my outreach emails. Why this plugin is useful is because GPT is only trained on data up to 2021 and doesn’t have recent data stored beyond that.

For instance, I once used the web browsing feature to research a prospect company before an outreach. GPT provided detailed insights about the company's recent expansion into a new market and the challenges they were facing. I used this information to craft a personalized email, offering our services as a solution to their specific challenges. This led to a positive response and a productive discussion with the prospect.

The results: Using GPT-4 for personalized outreaches has drastically improved my sales process, saving hours of research time and leading to higher response rates from prospects.

4. Compliance use case: Ensuring offshore office compliance with AI

The issue: Compliance is a critical component of any business, particularly when dealing with offshore offices. Keeping up with the varied regulations and ensuring adherence can be a massive undertaking and a costly one, too.

The solution: I use GPT to review and suggest compliance-related clauses, ensuring our offshore offices are always operating within the regulatory boundaries. The AI scans through international legal documents, rules, and updates to ensure we don't miss any crucial compliance requirements.

Please note that I still have our attorney review anything that has been produced by GPT. It still saves our company money by having them review what’s written versus having them write clauses.

Recently, our offshore office in Costa Rica was faced with updates to data protection regulations. I used GPT to suggest necessary updates to our privacy policy and data handling procedures and passed it off to our attorney for final review. This ensured we remained compliant without spending countless hours reading through and interpreting complex legal documents.

The results: The AI solution has proved invaluable, helping us save significant time while ensuring we maintain a robust compliance posture across our operations globally.

Everyday efficiency with AI

By integrating AI into my daily work routines, I've managed to save a significant amount of time that I can now put toward other important tasks and strategic business initiatives. The use-cases discussed all serve as concrete examples of the potential of AI in creating work efficiencies.
