Executive + Marketing Assistant — U.S. hours, fast responder, long-term

About the role I run a marketing consultancy that helps law firms grow. I work solo right now and move fast, and I need one reliable person to take the day-to-day off my plate so I can spend my time with clients and prospects. This role is half executive assistant, half marketing assistant. Some days you'll be protecting my calendar and chasing down replies. Other days you'll be scheduling LinkedIn posts, building a simple graphic in Canva, or loading a campaign into my CRM. I'm looking for someone who's organized, takes initiative, and communicates quickly and clearly. If you do good work, this grows into more hours and more responsibility. What you'll do Executive / admin side Manage my calendar: schedule, reschedule, and protect my focus time Keep my inbox under control: triage, flag what matters, draft replies for my review Track my tasks and follow-ups so nothing slips Coordinate with prospects and contacts to book calls Handle research, data entry, file organization, and other ad-hoc admin Marketing side Schedule and format content for LinkedIn (my main channel) Repurpose long-form pieces into short posts, carousels, and emails Build simple graphics in Canva from templates Help run email and CRM workflows in Go High Level Light prospecting and list work in Apollo Keep a content calendar tidy and on schedule You won't need to be an expert in all of this on day one. You do need to be quick to learn, comfortable with software, and willing to use AI tools (I use them heavily and you will too). Non-negotiables (please read before applying) You work U.S. business hours. Specifically, you must be available and online during 8:00 a.m. to 6:00 p.m. Mountain Time (Denver). This is firm. If your normal hours can't overlap with that window, this role isn't a fit. You're extremely responsive. During work hours I expect you to acknowledge messages within about 15–30 minutes, even if it's just "got it, on it." Slow or unpredictable communication is the fastest way for this not to work out. You're reliable and proactive. You follow through without being chased, and you flag problems early instead of going quiet. Strong written English. Clear, professional, low-error writing, since you'll be drafting messages and content. You're a great fit if You've supported a busy founder, executive, or small business before You're genuinely organized and like bringing order to chaos You're calm under a full plate and good at prioritizing You enjoy marketing work and want to do more of it over time You're a fast, friendly communicator Tools you'll use (experience is a plus, not required for all) Go High Level (CRM/automation), Apollo, LinkedIn, Canva, Google Workspace (Calendar, Gmail, Docs, Sheets), and AI tools like ChatGPT or Claude.
