Food Safety Document Administrator for Events

We run food safety consultancy services supporting events and exhibitions across the UK and are looking for a organised and proactive Food Safety Assistant to help manage the day-to-day administrative and compliance side of our events operation. To qualify for this role, you must have strong communication skills and be fluent in written and spoken English. The working hours for this position are 9am to 4pm UK time, Monday to Friday. There is some flexibility available, but your schedule must overlap with the above for communication with our team. In this role, your core responsibilities will include: - Processing and managing food safety applications submitted by exhibitors and traders ahead of events, ensuring all required information is received and recorded. - Reviewing submitted documents such as food safety management systems, allergen information, and hygiene certificates, flagging any issues or missing information. - Communicating with exhibitors via email to request outstanding documents, answer queries, and keep them informed throughout the application process. - Maintaining and updating spreadsheets to track application statuses, document submissions, and compliance progress across multiple events. - Assisting with the generation of reports summarising compliance levels, outstanding actions, and event readiness for internal use and client-facing purposes. We're looking for someone with the following attributes: - NIBOSH qualifications would be considered an asset, although not strictly required. - Strong written English and professional email communication skills. - High attention to detail, particularly when reviewing documents and maintaining records. - Comfortable working with spreadsheets (Google Sheets) and picking up new systems quickly. - Ability to manage multiple events and deadlines simultaneously without dropping the ball. - A background or interest in food safety, environmental health, or events is a bonus but not essential, full training will be provided. - NEBOSH training considered an asset.
