# Job Description: Part-Time Finance Operations Manager / Bookkeeper ## Role Overview We are looking for a highly organized Part-Time Finance Operations Manager / Bookkeeper to manage financial tracking, bookkeeping workflows, reporting, invoicing, and financial data across multiple international businesses and personal accounts. This role will report directly to the Executive Assistant and support the founder with weekly, monthly, quarterly, and yearly financial visibility. The ideal candidate is detail-oriented, reliable, experienced with multi-entity bookkeeping, and comfortable working with international businesses, personal accounts, crypto transactions, and remote teams. ## Businesses / Scope The role covers all financial entities connected to the founder, including: - AGOHP-related entities - UK company: Bloomson Ltd - UAE / VoltFX.ai - Mexico entities - US entities - Founder’s personal accounts - Crypto wallets and USDT/USDC transaction tracking where relevant ## Key Responsibilities - Maintain full bookkeeping workflows on a weekly basis - Update and verify financial dashboards - Prepare weekly financial summaries - Prepare monthly P&L reports by entity - Support quarterly and yearly reporting - Track bank accounts, credit cards, personal accounts, and crypto wallets - Maintain the master financial database - Reconcile transactions from exported statements - Track business and personal expenses clearly - Separate company expenses, personal expenses, owner withdrawals, intercompany transfers, and investment capital - Prepare clean accounting packs for local accountants in the UK, Mexico, US, and UAE - Manage monthly invoicing for Bloomson Ltd vacation rental activity - Monitor VoltFX.ai automated invoicing - Chase unpaid invoices by email and WhatsApp - Flag missing data, unusual transactions, late invoices, cashflow issues, and reporting problems to the EA - Maintain accurate records for all entities - Help improve bookkeeping automation and reporting workflows ## Required Experience - 5+ years in bookkeeping, finance operations, accounting support, or similar - Strong experience with Google Sheets and Excel - QuickBooks experience required - Experience preparing P&L reports and cashflow summaries - Experience working with multiple companies/entities - Comfortable coordinating with accountants in different countries - Comfortable handling confidential financial and personal information - Experience with invoice chasing and payment tracking - Strong written English - UAE, Moscow, or European time zone friendly ## Preferred Experience - Experience with international founders or family-office-style finance - Experience with property management, vacation rentals, or real estate - Experience with fintech, SaaS, forex, or trading businesses - Experience tracking crypto payments, USDT, USDC, and wallet movements - Experience with ClickUp, Notion, Claude, ChatGPT, or automation tools ## Tools - Google Sheets - Excel - QuickBooks - ClickUp - Claude / ChatGPT - Crypto wallet trackers - Email / WhatsApp for invoice chasing ## Access & Confidentiality The finance manager may receive view-only access where appropriate. Otherwise, bank statements, card statements, invoices, and transaction exports will be provided by the Executive Assistant. The candidate must be highly trustworthy and able to handle sensitive personal, business, financial, and crypto-related information with strict confidentiality. ## Reporting Structure Reports to: Executive Assistant Supports: Founder / CEO ## Reporting Cadence Weekly: - Updated dashboard - Cash position overview - Outstanding invoices - Missing documents - Issues requiring attention Monthly: - P&L by entity - Expense breakdown - Cashflow summary - Invoicing status - Accountant-ready files Quarterly / Yearly: - Full accounting preparation pack - Financial summaries by entity - Documentation review for local accountants ## Time Commitment 10–20 hours per week. The role may start with a paid trial project to assess accuracy, structure, communication, and ability to manage financial complexity. ## Budget Expected range: approx 1500 USD monthly Higher rates may be considered for candidates with strong international accounting, crypto tracking, and multi-entity reporting experience. ## Ideal Candidate The ideal candidate is not just a bookkeeper. They are a finance operations person who can create order, keep dashboards accurate, chase missing information, coordinate with accountants, and give the founder clean financial visibility every week.
