Bookkeeper

We are a small business owner seeking a detail-oriented bookkeeper to take over ongoing monthly bookkeeping for two separate LLCs. We are transitioning away from our current provider and need someone who can maintain clean, tax-ready books, work independently in QuickBooks Online, and coordinate smoothly with our CPA/tax advisor at year-end. This is a long-term engagement for the right candidate. Multi-revenue stream business: Record and categorize all income and expenses across multiple revenue lines Reconcile payment processors monthly: PayPal, Stripe, and Shopify Payments Ensure each revenue stream is tracked under the correct income category for clean P&L reporting Reconcile bank and credit card accounts monthly Import and reconcile Gusto payroll runs — ensure payroll expenses, employer taxes, and benefits are correctly categorized in QBO each pay period Cross-reference Homebase time tracking data with Gusto payroll as a reasonableness check; flag discrepancies Maintain properly structured chart of accounts for easy tax preparation Pull and deliver a year-end inventory report in a format suitable for our tax preparer Short-term rental property: Record Airbnb payouts, cleaning fees, and host fees with correct categorization Track all property-related operating expenses (supplies, maintenance, utilities, platform fees) Reconcile accounts monthly and maintain clean separation from Entity 1 Ensure books are structured to support Schedule E or applicable tax treatment Responsibilities: Monthly close for both entities — reconciled, categorized, and review-ready Maintain an accurate, up-to-date chart of accounts in QuickBooks Online for each LLC Flag unusual transactions or categorization questions proactively — do not guess Communicate with our CPA/tax advisor as needed to ensure handoff is seamless at tax time Deliver year-end inventory report (Entity 1) by a mutually agreed deadline in Q1 Respond to messages within 1–2 business days Requirements Proven experience in QuickBooks Online — please include your ProAdvisor certification status if applicable Experience bookkeeping for multi-entity or multi-revenue-stream small businesses Familiarity with PayPal, Stripe, and Shopify Payments transaction reconciliation Hands-on experience with Gusto payroll integration in QuickBooks Online Familiarity with Homebase or similar time-tracking platforms and how they feed into payroll Experience with short-term rental (Airbnb / VRBO) bookkeeping is a strong plus Understanding of how to structure books for smooth CPA handoff at tax time Strong attention to detail and consistent communication — we need reliability, not just skill Must be comfortable working within a fixed monthly budget Flat monthly retainer of $400–$500/month covering both entities.
