We're looking for a highly organized Public Relations & Media Relations Associate to operationalize our earned media strategy and help build ProviderNow's credibility among healthcare leaders, employers, benefits professionals, and strategic partners. This is not a traditional publicity role. Every media placement should ultimately help create partnership opportunities, strengthen executive credibility, and support business development. About the Role ProviderNow has already developed its public relations strategy. Your role is to execute it. You'll research reporters, organize media opportunities, manage media assets, coordinate outreach, track follow ups, monitor healthcare news, and ensure every meaningful media placement is converted into a valuable commercial asset for our partnership team. What You'll Do Media Research & Database Management Build and maintain ProviderNow's media database. Research reporters, editors, podcast hosts, contributors, and producers. Identify relevant healthcare, benefits, business, technology, workforce, and entrepreneurship publications. Track reporter beats, recent coverage, contact information, preferences, and outreach history. Continuously expand and improve our media target lists. Media Asset Management Organize and maintain ProviderNow's press kit. Package approved media assets for reporters and warm introductions. Maintain founder biographies, company descriptions, logos, headshots, fact sheets, approved statistics, FAQs, and prior media coverage. Ensure all public relations materials remain organized, current, and easily accessible. Media Outreach Support Coordinate approved outreach to reporters, editors, podcasts, and publications. Support personalized pitching efforts using approved messaging. Coordinate byline article submissions. Coordinate podcast outreach and scheduling. Respond promptly to requests for approved media assets. Track follow ups and maintain consistent communication with media contacts. Rapid Response & Opportunity Monitoring Monitor healthcare, benefits, employer, workforce, and healthcare technology news. Identify opportunities for ProviderNow to provide timely expert commentary. Prepare background research for rapid response opportunities. Coordinate approved responses with internal leadership. Partnership Enablement Organize earned media assets for partnership outreach. Help package media placements for prospective partners, investors, and strategic discussions. Identify opportunities to reconnect with warm prospects using relevant media coverage. Coordinate closely with the CEO to ensure public relations activities directly support business development. Reporting & Operations Maintain detailed tracking of outreach activities, responses, interviews, placements, and follow ups. Prepare weekly progress reports. Track key performance metrics including: Personalized pitches sent Response rates Interviews secured Articles published Podcasts completed Media placements Commercial opportunities supported Recommend improvements to media operations and workflow efficiency. What We're Looking For 2 to 5 years of experience in public relations, media relations, communications, journalism, agency account management, or related fields. Exceptional written and verbal communication skills. Strong research capabilities. Outstanding organizational skills and attention to detail. Comfortable managing multiple projects simultaneously. Ability to work independently with minimal supervision. Professional, polished communication style. Experience maintaining spreadsheets, databases, and project trackers. Familiarity with healthcare, healthcare technology, benefits, HR, or B2B communications is a plus. Experience using media databases such as Muck Rack, Cision, or similar platforms is a plus. Comfortable leveraging AI tools to improve research, organization, and productivity. What Success Looks Like During your first 90 days, you'll help build the operational foundation for ProviderNow's earned media program by: Building and maintaining a comprehensive media database. Organizing ProviderNow's press materials and media assets. Supporting personalized outreach to priority media targets. Coordinating byline and podcast submissions.
