We're hiring a fractional Events Manager to run the coordination on a three-event pro athlete experience series in New York City, launching this autumn. We build athlete-led experiences for major consumer brands - the kind of thing a member can't buy anywhere else. Our client for this series is a large national brand, the events are approved and funded, and we need someone to own the coordination so they actually land. THE SERIES Three events in Manhattan, one a month, starting in the autumn. Each pairs a small group of guests with an active pro athlete: 1. Train Like A Pro - a training session at a boutique fitness studio 2. Recover / Flow Like A Pro - a recovery and yoga session 3. Chef's Table - an intimate dinner (venue being shortlisted) Every event follows the same shape: a short meet-and-greet, an interactive session where the athlete takes part in or leads the experience, and a photo opportunity. Guests are members of our client's community. These three are the proof of concept for a format we intend to run in more cities. If this goes well, there's a lot more work here. THE DAY-TO-DAY IS REMOTE. Most of this role is coordination - calls, email, timelines, chasing details. What you can't do remotely is the event itself, plus a site visit at each venue beforehand. That's why we need you in New York: three evenings on the floor running the room, and a handful of daytime visits around them. WHAT YOU'D OWN You are the connective tissue between four groups who all need to be in the same place at the same time: - The client - their brand and events team. Weekly check-ins, run-of-show approvals, and keeping their marketing team supplied with what they need to promote each event. - Athlete representation - we source talent through league association partners. You'd manage availability, contracting paperwork, appearance windows, day-of logistics and arrival, and keep a backup athlete warm for every event. - Venue partners - a fitness studio, a wellness studio, and a restaurant. Site visits, capacity and layout, timings, F&B, staffing, load-in, and any AV or signage. - Everything else - photography and content capture, guest list and check-in, gifting and product placement from sponsor brands, vendor invoices, and the post-event wrap. Week to week that looks like: - Build and maintain the master production timeline across all three events - Run a weekly status call and send a written recap that keeps every party aligned - Draft and own each event's run of show, and hold people to it on the day - Chase the details nobody else will chase - the COI, the load-in window, the dietary restrictions, the athlete's arrival time - Walk each venue ahead of time and be onsite running the room on the three event nights - Deliver a post-event report: what happened, what it cost, what we'd change WHO THIS IS FOR You've produced brand activations or hospitality events in New York and you know the difference between a plan and a plan that survives contact with a talent agent. - 3+ years producing live brand events, activations or hospitality experiences, ideally in NYC - Experience coordinating with athletes, talent, or their representation - you understand appearance windows, riders, contracting, and why an agent goes quiet for four days - Comfortable as the client-facing point of contact for a significant brand - you write clearly, you follow up, you don't need to be chased - Genuinely organised: timelines, budget trackers, run of shows, vendor lists. You keep the source of truth and everyone knows where it is - NYC-based - the coordination is remote, but you're on the floor for the three event nights and for venue walkthroughs - Calm when something breaks two hours before doors - Comfortable signing an NDA - client, venue and athlete names are shared after that Nice to have: relationships with NYC fitness or wellness studios and restaurants; experience with sponsor integrations and gifting; a background in sports, fitness or hospitality. HOW WE WORK Small team, direct communication, no layers. You'll work with our founder and our experiences lead. We'll give you the context and the relationships you need and then get out of your way. TO APPLY Please don't send a generic cover letter - we read these properly. Tell us: 1. Two events you've produced in NYC. Format, guest count, and your specific role. 2. A time you coordinated with an athlete, talent, or their representation. What went sideways and how did you handle it? 3. Are you NYC-based, and available on three weekday evenings between October and December? 4. Your hourly rate and weekly availability. We're looking to have someone in place within two weeks.

About the Project I’m building the first MVP (Minimum Viable Product) of Synchos, an AI-powered music catalog and sync management platform for independent artists, producers, composers, and songwriters. The goal is to create a system that automatically organizes songs, stores all related assets, generates AI metadata, and prepares songs for sync licensing opportunities. This is NOT a website or SaaS project. This project is focused on building a clean, scalable Airtable foundation with one Make.com automation that I will personally use to organize my music catalog. This Airtable MVP will later serve as the blueprint for a custom SaaS platform. I already have Google AI Studio (Gemini API) credits and would like to use Gemini if possible. ⸻ Please Read Although Upwork shows this as a Contract-to-Hire opportunity due to an app limitation, this is NOT a full-time position. This is a small fixed-price MVP project with a budget of $100–150. I’m looking for someone who enjoys building clean, scalable systems—not someone who simply wants to complete a quick gig. If we work well together, I expect there will be additional paid milestones and future projects, but there is no expectation of full-time employment. ⸻ Project Goal Build Version 1 of the Synchos foundation. I value: * Clean database architecture * Good organization * Scalability * Documentation * Maintainability over having lots of unfinished features. ⸻ Scope of Work 1. Airtable Database Create a clean relational Airtable base using linked records. Tables * Songs * Collaborators * Writers * Publishers * Music Libraries * Music Supervisors * Agencies * Pitch History ⸻ 2. Songs Table Each Song record should support: Basic Information * Song Title * Artist * BPM * Key * Genre * Subgenre * Mood * Theme * Explicit / Clean * Availability * Notes Attachments * MP3 or WAV * Cover Art * Lyric Sheet * Split Sheet Links * DISCO Link AI Fields * Song Description * AI Song Summary * Keywords * Sync Categories * Metadata All AI-generated fields must remain manually editable. ⸻ 3. Airtable Interface Create a clean interface that feels like an application instead of a spreadsheet. Dashboard Display: * Total Songs * Ready to Pitch * Never Pitched * Missing Assets * Recent Songs * Follow-Ups Due My Catalog Search and filter songs. Song Details Every field should be editable. ⸻ 4. Views & Filters Create useful views including: * Ready to Pitch * Never Pitched * Missing Lyrics * Missing Split Sheet * Missing Cover Art * Missing Metadata * Available * Exclusive * Non-Exclusive * Sports * Trailer * Hip-Hop * Pop * Explicit * Clean ⸻ 5. Simple CRM Create linked tables for: Music Libraries * Library Name * Website * Contact * Email * Notes Music Supervisors * Name * Company * Email * Notes Agencies * Name * Contact * Email * Notes Pitch History Each pitch should link to a Song. Track: * Song * Contact * Date Sent * Status * Notes ⸻ 6. One Make.com Automation Build one automation using: Airtable → Make.com → Google AI Studio (Gemini API) → Airtable When I upload a song package (whatever information is available): * MP3/WAV * Lyric Sheet * Split Sheet * Cover Art * DISCO Link The automation should: * Extract embedded audio metadata when available (such as Song Title and Artist from ID3 tags) * Send the available information to Gemini * Generate: * Song Description * Genre * Mood * Theme * Keywords * Sync Categories * AI Song Summary * Automatically populate the Airtable record If full audio analysis is not practical within this budget, please use the available text and metadata while preserving the uploaded audio for future enhancements. ⸻ 7. Collaborator Memory When a split sheet is uploaded, the system should attempt to extract collaborator information whenever possible. Examples: * Name * Email * PRO (Performing Rights Organization such as BMI, ASCAP, SESAC) * Publisher This information should be stored in reusable Collaborator records so I do not have to enter it again for future songs. Song-specific ownership percentages should remain unique to each song. ⸻ 8. Manual Editing Everything generated by AI must remain editable. Nothing should be locked. ⸻ 9. Documentation Please provide: * Airtable Base * Make.com Scenario * Setup Instructions * Instructions for updating the Gemini API key ⸻ Important This project is intentionally small. I understand my budget is limited. I would rather have a clean, scalable, well-organized foundation than lots of unfinished features. I am looking for someone who understands database design and automation and can help me build Version 1 correctly. ⸻ Future Phases Future paid phases may include: * AI Split Sheet Generator * Spotify Reference Analyzer * YouTube Reference Analyzer * AI Brief Matching * AI Song Recommendations * Semantic Lyric Search * Advanced CRM * Additional Make.com Automations * Custom SaaS Development My goal is to continue working with the same developer if this MVP is successful. ⸻ Please Answer These Questions 1. Have you built Airtable + Make.com systems before? 2. Have you integrated Google AI Studio (Gemini API) or another LLM API into Make.com? 3. Please share one or two similar projects. 4. If you had my budget ($100–150), what would you prioritize building first? 5. What would you simplify to ensure this MVP is successful? 6. Can this Airtable structure easily migrate into a future SaaS platform? 7. Is there anything you would recommend changing to make this MVP stronger while staying within budget? Please begin your proposal with the word “Synchos” so I know you’ve read the full project description.

Senior Instructional Designer, E-Learning Developer, and Technical Training Video Producer Project: LMI Service Electrician Qualification and Development Program Lighting Maintenance Inc. is seeking an experienced instructional designer and e-learning developer to help create a comprehensive training and qualification program for our service electricians. This is not a request for a generic online course, a basic safety presentation, or simple video editing. We need someone who can take existing technical content, operating standards, employee evaluations, raw field video, photographs, procedures, and subject-matter-expert input and turn them into professional, practical, mobile-friendly training for field employees. The completed training will be delivered and tracked through the MITER Learning platform. The Type of Professional We Are Looking For The ideal contractor is a senior instructional designer or learning-experience developer who also has strong multimedia and technical video-production capabilities. The contractor should be able to: Design competency-based workforce training. Organize complex technical material into clear learning modules. Work with electricians, managers, safety personnel, and other subject-matter experts. Develop e-learning courses, assessments, job aids, and practical-evaluation tools. Edit raw field footage into professional training videos. Develop narration and voiceover. Add instructional graphics, diagrams, animation, labels, callouts, captions, and visual explanations. Package and implement training in an LMS. Help configure learning paths, certifications, assignments, completion rules, and reporting inside MITER. Deliver all editable source files so LMI can maintain the training internally. One individual may perform all of this work, or the applicant may lead a small production team. Any subcontracting must be disclosed in the proposal. About LMI Lighting Maintenance Inc. is an established electrical contractor specializing in: Roadway and street lighting. Commercial and industrial lighting. Electrical service and troubleshooting. Sports lighting. Traffic signals. Exterior and parking-lot lighting. Aerial and bucket-truck work. High-mast lighting. Underground electrical systems. Related electrical infrastructure and field services. Our employees work in real field conditions, often independently, using service vehicles, aerial equipment, test instruments, electrical controls, and specialized equipment. The training must reflect the practical reality of field service work. Project Purpose LMI is developing a formal Service Electrician Qualification and Development Program. The program must help us determine: What an electrician already knows. What the electrician can actually demonstrate in the field. What specific training gaps must be addressed. When the electrician is qualified to work independently. What vehicles, equipment, and work assignments the electrician is authorized to receive. What restrictions remain until additional training or verification is completed. This is a competency-based qualification program. Watching a video or passing a quiz will not, by itself, qualify an employee. The training must connect online learning with written assessment, practical demonstration, supervised field performance, evaluator approval, and final management authorization. Existing Program Materials LMI has already developed substantial source material, including: A detailed service-technician evaluation. A 150-item competency and qualification matrix. Qualification levels. Mandatory safety and performance gates. Core curriculum-module outlines. Written assessment concepts. Practical evaluation stations. Supervised service-call requirements. Customer-communication standards. Documentation standards. Vehicle and equipment requirements. Employee authorization and restriction criteria. Draft lesson content, scripts, scenarios, questions, and training material developed with AI assistance. Internal electrical, safety, fleet, service, and management subject-matter experts. The contractor will not be starting with a blank page. The contractor’s responsibility will be to convert these materials into a consistent, professional, effective, and manageable training system. Core Curriculum Modules The initial program is expected to contain the following ten modules: The LMI Service Standard. Dispatch, Scheduling, and Daily Preparation. Timekeeping and Productive Use of the Day. Service Vehicle and Take-Home Vehicle Responsibility. Electrical Safety and Field Judgment. The LMI Troubleshooting Process. Lighting and Electrical Systems. Customer Communication and Customer Experience. Documentation and Work-Order Closeout. Productivity, Profitability, and Quality. Additional qualification or endorsement tracks may later be created for: Bucket-truck operation. Digger-derrick operation. CDL Class A and Class B. Traffic-signal work. Sports-lighting work. Underground fault locating. High-mast work. Traffic-control setup. Apprentice or helper supervision. Emergency and after-hours response. Take-home vehicle authorization. Senior troubleshooter or mentor. Technical evaluator. Training Formats The program may include: Short mobile-friendly e-learning lessons. Instructor-led training. Field demonstrations. Professionally edited training videos. Voiceover and narration. Photographs and technical diagrams. Animation and motion graphics. Knowledge checks. Final written assessments. Practical skills checklists. Manager and evaluator observation forms. Employee job aids. Field-reference guides. Scenario-based exercises. Supervised service-call evaluations. Remedial training assignments. Certification and requalification records. The contractor should recommend the most appropriate format for each subject rather than forcing every topic into the same type of course. Raw Field Video and Multimedia Production LMI will provide raw video recorded in the field. The footage may show: Electrical troubleshooting. Lighting repairs. Controls and contactors. Photocells and time clocks. Meter use. Pole bases and handholes. Bucket-truck work. Vehicle inspections. Safety practices. Customer-service procedures. Documentation procedures. Specific field techniques. Correct and incorrect methods. The raw footage may not be professionally recorded. The contractor will be responsible for converting usable footage into clear, professional training material. Responsibilities will include: Reviewing and organizing footage. Selecting the strongest usable sections. Removing unnecessary, unclear, repetitive, or unusable footage. Editing demonstrations into concise and logical sequences. Improving pacing, audio quality, and visual clarity. Developing or refining narration scripts. Providing professional voiceover or coordinating approved voice talent. Adding titles, captions, labels, arrows, callouts, freeze frames, zooms, and highlights. Creating graphics, diagrams, illustrations, or animation where the raw video does not fully explain the concept. Adding closed captions and transcripts. Protecting customer names, locations, license plates, employee information, and other sensitive material when required. Preparing content for mobile delivery through MITER. Creating shorter field-reference clips when appropriate. Providing LMI with all editable video-project files and production assets. When existing footage is insufficient, the contractor must provide clear filming instructions to LMI, including: Required camera angles. Close-up shots. Wide shots. Demonstration sequence. Required lighting and audio. Talking points. Narration requirements. Safety considerations. Additional photographs or graphics needed. The final product should not consist of long, unedited videos showing employees working. Each training segment must clearly explain: What task is being performed. Why the task is being performed. How each step should be completed. What hazards must be controlled. What common mistakes should be avoided. What acceptable performance looks like. How the employee’s competence will be evaluated. MITER Learning Platform Implementation The training will be delivered and tracked through MITER. The contractor should be able to assist LMI with: Course setup. Custom learning content. SCORM or other compatible course packaging where appropriate. Learning-path configuration. Assignment by job role or employee level. Course prerequisites. Quiz and assessment setup. Instructor-led training records. Practical training records. Completion requirements. Certification tracking. Expiration and renewal dates. Manager reporting. Training reminders. Remedial training. 30-day and 90-day follow-up reviews. Administrator training. Testing the employee mobile experience. Direct experience with MITER is preferred but not mandatory. Applicants with strong LMS experience who are willing to work directly with MITER support will be considered. Initial Paid Pilot The initial engagement will be a fixed-price pilot. The pilot module will be: The LMI Troubleshooting Process This module will teach a repeatable process for diagnosing electrical and lighting service problems rather than randomly replacing parts. The pilot may include scenarios such as: One failed parking-lot fixture. Multiple fixtures out on one circuit. Photocell failure. Time-clock failure. Contactor or control-circuit failure. LED driver failure. Loose or damaged connections. Neutral problems. Water intrusion. Pole-base damage. Underground circuit problems. Incorrect replacement-component selection. Pilot Deliverables The pilot should include: Final learning objectives. Recommended lesson structure. Detailed course outline. Course storyboard. Mobile-friendly e-learning content. Instructor or narration scripts. At least one professionally edited field-training video. Voiceover integrated into the finished video. Supporting technical graphics and visual callouts. Knowledge checks. Final written assessment. Answer key and scoring requirements. Practical demonstration checklist. Supervisor or technical-evaluator observation form. Employee field-reference job aid. Remediation requirements for failed competencies. MITER-ready files or course package. Assistance uploading and testing the course in MITER. Written instructions for maintaining and updating the course. All editable source files. All video-editing project files. Separate graphics, audio, scripts, captions, and production assets. Recommendations for improving future LMI field video. Required Experience Applicants should have demonstrated experience in: Instructional design. Adult learning. Corporate or workforce training. Competency-based training. E-learning development. Practical skills assessment. Mobile learning. LMS implementation. Technical writing. Working with subject-matter experts. Video editing. Voiceover-based instruction. Technical graphics and diagrams. Scenario-based learning. Course testing and quality control. Experience with any of the following is strongly preferred: Electrical contracting. Construction. Skilled trades. Utilities. Industrial maintenance. Field service. Fleet operations. Equipment operation. Occupational safety. Manufacturing. Technical certification programs. Applicants do not need to be licensed electricians. However, they must be comfortable working with detailed electrical and field-service subject matter and accepting technical direction from LMI. Preferred Authoring and Production Tools Experience with the following or comparable tools is preferred: Articulate Rise 360. Articulate Storyline 360. Adobe Captivate. Camtasia. Adobe Premiere Pro. Adobe After Effects. DaVinci Resolve. Adobe Illustrator. Adobe Photoshop. Vyond. Canva. SCORM course-development tools. Professional audio and captioning tools.
