The Executive Assistant and Client Relations Coordinator supports the Firm’s Owner and Managing Attorney in daily operations through high level administrative management, client communication, and workflow coordination. This role ensures that the attorney’s time, priorities, and workflow are protected, organized, and executed with precision. Executive Assistant Core Responsibilities • Calendar & Priority Management — Maintain and defend the attorney’s calendar; coordinate hearings, deadlines, meetings, MCLE presentations, and property related appointments; anticipate conflicts and proactively resolve scheduling issues. • Workflow Coordination — Track active matters, deadlines, follow ups, and internal project timelines; ensure the attorney has what they need before each meeting or task; keep cases and projects moving without requiring attorney prompting. • Email Management — Oversee and organize the Managing Attorney’s inbox with disciplined triage, prioritization, and follow through • Document & Information Management — Save documents, correspondence, and internal documents; draft and serve correspondence. • Operational Support — Handle administrative tasks including task prioritization, vendor coordination, and light bookkeeping support; assist with firm systems, templates, and process improvements. • Communication Management — Serve as the attorney’s administrative voice: draft correspondence, manage inbound communications, and ensure clients, agencies, and vendors receive timely, professional responses. • Anticipatory Support — Identify needs before they arise; flag risks, deadlines, or operational gaps; maintain a forward-looking understanding of the attorney’s commitments, projects, and strategic priorities. Client Relations Coordinator Core Responsibilities • Client Intake — Serve as the first point of contact for prospective clients; assess urgency; and ensure clients understand next steps, expectations, and required documentation; coordinate intakes with attorney. • Issue Spotting & Escalation — Identify client concerns, red flags, or case related issues early; escalate appropriately to the attorney; and help maintain operational awareness of potential client needs and case status. • Client Experience Management — Uphold the Firm’s standards of compassion, professionalism, and clarity; manage emotionally charged conversations with calm boundaries; and create a consistent, reassuring client experience from first contact through case resolution. • Scheduling & Coordination — Coordinate potential client consultations, and follow ups; ensure potential clients receive reminders, confirmations, and any preparatory instructions needed for a smooth interaction with the attorney. • Information Handling & Case Opening — Collect, organize, and maintain potential client documents; ensure information is accurately routed to the attorney; open e-file.

We show up at the dealership and install running boards, tonneau covers, and hitches right on their lot, so they don’t lose a truck for two days sending it to a shop. I’m good at the install side. I’m not good on the phone. That’s why this job exists. What you’d do: • Call independent used car lots, truck dealers, and contractors around Tampa Bay • Get past the front desk to the used car manager, GM, or owner • Book me a meeting. A day, a time, and a name — that’s what counts as a win • Build out the call list as you go (I’ve got about 46 to start; I’d want you sourcing more) • Log your calls so I can see what’s working What I give you: • A call script that’s already written and reworked — you’re not starting cold • A dedicated business line, so callbacks come to you instead of my cell • Rate sheet and answers to anything they’ll throw at you • I take every meeting and do every close. You never have to sell anything Being straight with you: this is a new business. I launched in April and I’m still landing the first dealership account. There’s real risk here and I’d rather say it now than have you find out in week three. What I can tell you is I answer my phone, I pay on time, and I won’t disappear on you.
