I’m seeking an experienced and detail-oriented administrative assistant or someone who has experience managing large amounts of digital files to help refine and organize a personal photo collection containing approximately 100,000 files or fewer. The collection has already been consolidated, de-duplicated and placed into initial year and month folders. This project will focus on reviewing the remaining files, identifying low-value content and organizing meaningful photos into more useful event- or theme-based subfolders. Scope of work: * Review photos within the existing year and month folder structure, flag any files that appear to have the wrong capture date embedded. * Identify and set aside low-value images, including screenshots, accidental photos, blurry images, obvious duds, near-duplicates and other non-essential files. * Place low-value files into designated review folders rather than permanently deleting them. * Identify key occasions, events and themes within each month. * Create clearly and consistently named subfolders for events such as birthdays, holidays, vacations, school activities, sporting events, family gatherings and other significant occasions. * Move the applicable photos into their corresponding event or themed subfolders. * Leave general "everyday" photos within the appropriate month folder when a separate event folder is not warranted. * Follow an established folder-naming structure and written organizational guidelines. * Flag any uncertain files or organizational decisions for review. * Preserve original file quality, metadata, capture dates and filenames unless otherwise instructed. * Track progress and provide periodic updates on completed folders, files reviewed and questions requiring clarification. The collection may include both photos and video files. All work must be performed carefully, with no permanent deletions, destructive edits or changes to the original image quality. The ideal candidate will have: * Experience organizing large personal photo collections or digital archives. * Strong visual judgment and the ability to distinguish meaningful images from screenshots, duplicates, accidental photos and poor-quality images. * Excellent attention to detail and consistency. * Experience working with structured folder systems and large file volumes. * Familiarity with photo metadata, capture dates and common photo and video file formats. * A reliable computer, stable high-speed internet connection and comfort working through an approved remote-access or file-sharing workflow. * The ability to follow detailed instructions while using good judgment when unexpected situations arise. * Respect for privacy and the ability to handle personal and family photos confidentially. Experience with software such as Adobe Lightroom Classic, Adobe Bridge, Photo Mechanic, Apple Photos or other applications that allow for more efficient file organizing. The project will likely begin with a smaller paid trial folder or year so I can evaluate accuracy, judgment and consistency before assigning the full collection. I’m looking for a detail-oriented U.S.-based freelancer to become an important part of my real estate photography business which is based in San Diego, California. Your primary goal is to ensure every gallery is organized, polished, and ready for final delivery. Our photography team works throughout the day to capture various media at properties - including photos, drone, 3D tours, video, floor plans, etc. It is your job to finalize the edits for the photography, and compile the additional elements like 3D tours, floor plans, etc, into our media delivery platform so we can deliver the media to the client within 24 hours after the end of their photoshoot. You will use an AI editing platform (that is very easy to use if you are familiar with AI) to edit the photos and finalize the media in the evening so I can review the edits quickly in the morning and approve delivery before heading out to another photoshoot. Attention to detail is huge in this role - if you're able to notice little details in photos that are imperfect and can work to make them look perfect - this is the role for you. No advanced photo editing experience required, as the AI will handle the heavy lifting, and you will just make basic edit requests to ensure each gallery looks perfect and consistent with our brand style. This is a remote position with room to grow into a larger operations role if desired as the business scales. Requirements * Based in the United States (preferred PST or MST - this work will take place in the late afternoon/evening during the PST time zone, and will require a bit of morning PST work as well if changes need to be made). * Excellent attention to detail—you naturally notice small imperfections. This is crucial for this role. * Comfortable learning new software and following detailed, established workflows. Familiar with how AI works so you can prompt it effectively when needed. * Organized, dependable, and responsive.
