Insurance Claims Audit & Reimbursement Specialist Initial Audit Project + Ongoing Monthly Support | Remote | US-Based Preferred Project at a Glance Project Type Fixed Price (Initial Audit) + Monthly Retainer (Ongoing) Duration Phase 1: Estimated 3-5 business days (initial audit) | Phase 2: Ongoing monthly retainer Location Remote — US-based freelancers strongly preferred Covered Individuals 2 (same household, same insurance) Primary Insurance Aetna Secondary Insurance Redwood Health Services (RHS) — employer group plan Date Range February 2025 to present (~16 months) Project Overview I am looking for an experienced medical billing or insurance claims specialist to perform a full audit and reconciliation of insurance claims for two covered individuals under coordinated benefits (Aetna primary, Redwood Health Services secondary). This covers approximately 16 months of activity across multiple providers and specialties. This engagement has two phases: Phase 1 is a defined audit and reconciliation project to get all claims current. Phase 2 is an ongoing monthly retainer to manage new claims, EOBs, and reimbursements on a rolling basis going forward. We are looking for one specialist to handle both phases and build familiarity with our accounts over time. Scope of Work 1. Document Gathering & Organization • Pull all EOBs from Aetna member portal (access will be provided) for both covered individuals, February 2025 to present • Pull any available EOBs or correspondence from RHS • Collect and organize provider bills and statements provided by client • Create a master claims tracker spreadsheet organized by date of service, provider, amount billed, amount paid, and balance 2. Claims Audit & Reconciliation • Cross-reference all Aetna EOBs against provider bills to identify discrepancies, unpaid balances, or overpayments • Identify all claims where Aetna has processed but RHS secondary claim was never submitted • Flag any claims approaching or past RHS timely filing deadlines (typically 12 months from date of service) • Identify any out-of-pocket payments made by client that may be eligible for reimbursement 3. Secondary Claims Submission (RHS) • Prepare and submit outstanding claims to RHS with Aetna EOBs attached • Prioritize claims at risk of timely filing expiration • Follow up on any submitted claims that require additional documentation • Document all submissions with dates, reference numbers, and expected timelines 4. Reimbursement Processing • Identify all claims where client is owed reimbursement (paid out-of-pocket, secondary not yet applied) • Submit reimbursement requests as applicable • Provide client with clear summary of expected reimbursements and timelines 5. Final Deliverable • Clean master spreadsheet with all claims, statuses, amounts, and action items • Summary memo outlining: what was submitted, what is pending, what was recovered, and any unresolvable items with explanation • Recommendations for maintaining clean COB going forward Phase 2: Ongoing Monthly Claims Management Following completion of the initial audit, we are seeking continued monthly support to keep claims current and ensure no reimbursements are missed going forward. Monthly Responsibilities • Review and track all new EOBs from Aetna as they are issued • Submit new claims to RHS secondary within timely filing windows • Follow up on any pending or denied claims from prior months • Reconcile provider bills against EOBs and flag any discrepancies • Track and submit reimbursement requests for any out-of-pocket payments • Provide a brief monthly summary of claims processed, amounts recovered, and any outstanding items Estimated Monthly Volume Two covered individuals, multiple providers and specialties. Exact monthly volume will vary but is expected to be light-to-moderate — this is personal (not business) insurance management. Ideal Candidate • Experience with coordination of benefits (COB) between primary and secondary insurance payors • Familiarity with Aetna EOB formats and claims submission processes • Experience navigating employer group health plans and self-funded plan submissions • Detail-oriented with strong spreadsheet/tracking skills • Able to handle sensitive personal and financial information with discretion • US-based strongly preferred for data privacy and compliance reasons • Prior experience with insurance reimbursement audits or medical billing reconciliation required What Will Be Provided • Access to Aetna member portal (shared securely) • RHS plan documents and member ID information • Physical and/or scanned provider bills and statements • Any correspondence or prior EOBs already on hand • Prompt responses to questions and quick turnaround on any additional documents needed Note: A confidentiality/NDA agreement will be required prior to sharing any account access or personal documents. Please Include in Your Proposal • Brief description of your experience with COB claims and secondary insurance submissions • Whether you have worked with Aetna or Redwood Health Services (RHS) previously • Your proposed approach to the audit and reconciliation process • Fixed price for Phase 1 (initial audit) and proposed monthly rate for Phase 2 (ongoing management) • Estimated timeline for completing Phase 1 • Confirmation that you are US-based Budget This engagement has two pricing components: • Phase 1 (Initial Audit): Fixed price — please submit your best price based on the scope above • Phase 2 (Ongoing Monthly): Monthly retainer — please include your proposed rate based on estimated monthly volume Preference will be given to candidates with demonstrated relevant experience, not lowest bid. A reasonable, well-scoped proposal covering both phases will be prioritized. Questions before submitting a proposal are welcome. Looking to start immediately upon selecting the right candidate.

Why This Role Deserves Your Attention AI agents are transforming how enterprises operate — and Metaprise is building the infrastructure that makes it possible at scale. We're not a tool, a wrapper, or a workflow builder. We're building the Agent Operating System that lets companies deploy, govern, and trust AI agents across their entire workforce. The people we hire in the next 12 months will shape what this company becomes. That's where you come in. We're looking for a Talent Acquisition Coordinator who's energized by this mission, moves fast, communicates clearly, and takes full ownership of every step of the hiring process. This is a hands-on, execution-focused role — and if you've been waiting for work that actually matters, keep reading. What You'll Own You are not processing paperwork. You are helping build a team. Source candidates. Proactively identify and engage qualified candidates across LinkedIn, job boards, and niche communities. Build pipelines before we need them. Know where the right people are and go find them. Schedule and coordinate. Own interview scheduling end-to-end — across hiring managers, candidates, and time zones. Nothing falls through the cracks. Nothing is late. Every stakeholder knows exactly where things stand. Manage the candidate experience. Every person who enters our process should leave it with a clear sense of who we are. Timely, warm, and professional communication at every touchpoint — regardless of outcome. Keep the pipeline organized. Maintain accurate ATS records, track hiring progress across open roles, and surface blockers before they become problems. The team should always have a clear picture of where each search stands. Support the broader recruiting function. As a early-stage company, the scope of this role will grow. You'll contribute to how we build our employer brand, refine our process, and scale our hiring as the company grows. What We're Looking For We care about two things: motivation and potential. The right person for this role is genuinely hungry for the work itself — not just the title. You're curious about AI and excited to be part of building it. You don't need to be an engineer. But you follow what's happening in the agentic AI space, you understand why it matters, and you want to be inside a company that's at the center of it. You communicate with clarity and care. Written and verbal. You close the loop without being asked, follow up proactively, and never leave a candidate or colleague guessing about where things stand. You take accountability seriously. Deadlines aren't reminders — they're commitments. When you own something, it gets done. If something goes sideways, you surface it early and come with a solution. The Baseline Bachelor's degree or equivalent experience 1–2 years in recruiting coordination, HR, talent acquisition, or a closely related role Comfortable with ATS platforms, scheduling tools, and sourcing on LinkedIn Strong written communication — you can draft a candidate outreach message or an internal update with equal clarity Why Metaprise, Why Now Enterprise AI deployment is accelerating faster than most companies can govern it. Metaprise is building the operating system that closes that gap — a unified execution runtime with built-in identity, authority, and audit, deployable across cloud, hybrid, or fully air-gapped environments. The product is built. The architecture is proven. The GTM motion is ready. Now we're scaling the team that will take it to market — and you'd be one of the first people helping us do that. This is not a role where you inherit a process and run it on repeat. You'll help build the process. You'll be working directly alongside our recruiting and leadership team, in a company where your contributions are visible, your growth is real, and the mission is one you'll still be proud of in twenty years. If the description above sounds like exactly the kind of work you've been looking for, we'd love to hear from you. Details Remote (Can sit on-site if located in NYC) Part Time Contract Reports to: Talent Acquisition / People Lead, with direct exposure to company leadership.

Hi there! Thanks for stopping by. We're a small IT consulting firm in Chicago looking for a detail-oriented entry-level accountant or bookkeeping assistant who can help streamline and manage my invoicing process. The primary responsibility will be to review my Outlook calendar each month, extract billable meetings/appointments, and create accurate invoices in QuickBooks Online based on that activity. We also create invoices from our vendor's invoices, copy and paste and bill our clients accordingly. This is a great ongoing role for someone early in their accounting career who is reliable, organized, and comfortable working with Quickbooks Online. We'd work together out of the gates to capture style and cadence. Thanks!
