Executive Assistant — Research, Drafting & Operations Support (AI-Augmented) ABOUT THE ROLE I'm a solo founder running a consulting and advisory practice. I work fast, think in systems, and lean heavily on AI tools and a structured knowledge base to get a lot done with a small footprint. I'm looking for a sharp, reliable Executive Assistant who can take real work off my plate — not just calendar management, but research, drafting, document production, and the operational glue that keeps everything moving. This is a long-term, ongoing engagement. I want someone I can build a working relationship with over months and years, who learns how I think and gets more valuable over time. WHAT YOU'LL ACTUALLY DO The work falls into four buckets: 1. Knowledge & Project Work (the core of the role) - Research topics and tools, then synthesize findings into clear, decision-ready summaries (comparisons, pros/cons, recommendations). - Draft and format documents: memos, plans, proposals, briefs, internal reference pages, and polished deliverables. - Maintain and organize a knowledge base (Notion and/or Confluence) — creating pages, structuring information, keeping things current and findable. - Prepare materials ahead of meetings and clean up notes and transcripts after. - Comfort with AI tools (Claude, ChatGPT, Copilot, etc.) is a big plus — I use them daily and want a partner who can too. 2. Scheduling & Calendar - Own my calendar: book, reschedule, and protect focus time. - Coordinate meetings across time zones and handle the back-and-forth. - Set reminders and keep me ahead of deadlines and commitments. 3. Staff & Contractor Coordination - Act as a point of contact for contractors and collaborators. - Track tasks, follow up on deliverables, and keep projects on schedule. - Help onboard and coordinate other freelancers as the team grows. 4. Personal Administration - Handle personal scheduling, appointments, and reminders. - Manage occasional errands-by-proxy (research, bookings, purchases, follow-ups). - Help keep the line between work and personal life organized, not blurred. WHO YOU ARE - Excellent written English. You can take a rough idea and turn it into something clear and well-organized without hand-holding. - Strong researcher — resourceful, accurate, and good at knowing when something is "good enough" vs. needs another pass. - Detail-obsessed and dependable. Things don't fall through the cracks with you. - Proactive. You anticipate needs and flag problems early instead of waiting to be told. - Discreet and trustworthy. You'll have access to sensitive business and personal information and will handle it with care. - Comfortable with ambiguity and a fast-moving solo founder who context-switches a lot. TOOLS YOU SHOULD KNOW (or learn quickly) - Notion and/or Confluence - Google Workspace and/or Microsoft 365 (calendar, docs, drive, email) - AI assistants (Claude, ChatGPT, or similar) - General comfort picking up new software fast NICE TO HAVE - Experience supporting founders, executives, or consultants. - Familiarity with business/operations concepts (you don't need to be an expert, but you shouldn't be lost when I talk strategy or process). - Light project-management or coordination experience. LOGISTICS - Hours: 4-8 hrs/week to start, flexible / scaling - Rate: $20-30/hr - Start: ASAP HOW TO APPLY In your proposal, please: 1. Briefly describe a time you took a messy or open-ended task and turned it into a clean, useful deliverable. 2. Tell me which AI tools you've used and how. 3. Skip the generic template — a short, specific, well-written proposal tells me more than a long one. (Feel free to start your reply with the word "Foundry" so I know you read this.) I read every application personally. Looking forward to finding the right person.

We are a private operating foundation advancing human flourishing through education, cultural access, and well-being. We work like a tech incubator for impact — building and testing programs and digital tools — and we need a sharp, self-directed legal operations specialist to run day-to-day legal administration and drafting in close coordination with our outside counsel and our corporate attorney. This is **well beyond a paralegal role.** You will own governance documentation, draft and refine legal-adjacent materials, and keep our records audit-ready. You take direction from counsel, but you operate independently and proactively between those touchpoints. **What you'll do** - Draft, format, and version-control governance documents: board resolutions, consents, policies, memos, and correspondence. - Maintain a clean, well-organized records architecture (corporate minute book, conflict-of-interest disclosures, filings, counsel correspondence). - Prepare materials for, and capture minutes from, board and committee meetings. - Coordinate communications and matter tracking with outside counsel and our corporate attorney — routing, summarizing, and following through to closure. - Flag governance gaps, open items, and deadlines proactively rather than waiting to be asked. **Required** - Substantial experience in nonprofit or corporate legal operations, paralegal work, or as a practicing/former attorney. - Strong drafting ability — clear, plain, declarative writing with precise formatting. - Working knowledge of 501(c)(3) governance and entity recordkeeping. - **Fluency with AI tools** (e.g., Claude, ChatGPT, Gemini) for drafting, research, and document workflows — this is non-negotiable, not a nice-to-have. - Meticulous, organized, and able to work independently with light oversight. **Nice to have** - Background with private foundations specifically. - Familiarity with Google Workspace and structured document/version management.

Background & Context I am building a custom editorial-style Shopify storefront for selling fine art photography prints. The design is minimal and gallery-forward — inspired by photographer portfolio sites. Key features include a horizontal scrolling gallery, individual print product pages with size/edition selection, and a clean checkout flow. I have a clear visual direction. What I need is hands-on guidance to translate this into a real, functioning Shopify theme using Liquid, JavaScript, and Shopify's native tools — including no-code builders where they make sense — and to learn how to maintain and extend it myself going forward, using Claude as a core part of the workflow. What I’m Looking For A tutor who can work with me in a vibe coding style — meaning we use Claude heavily as part of our workflow. You don’t just write code for me; you help me understand how to prompt Claude effectively, review and refine what it produces, catch errors, and build good instincts for AI-assisted development. Session Style • Screen-share walkthroughs where we build together in real time • You explain the why behind each decision, not just the what • Help me craft and iterate on Claude prompts that produce quality Shopify code • Perhaps an occasional short written summaries or checklists after each session Pages Required • Homepage — horizontal scroll gallery with drag and arrow navigation • Product page — editorial image view, print size selector, edition info, add to cart • Collection page — grid or index-style listing of available prints • About • Contact page Key Features • Shopify OS 2.0 theme architecture (sections + blocks) • Custom Liquid sections for the horizontal gallery • Variant-based product options for print sizes and editions • Metafields for edition numbering and print details • Responsive mobile layout • Fast load performance — minimal dependencies Ideal Candidate • Strong Shopify Liquid knowledge (OS 2.0 preferred) • Comfortable working alongside AI tools (Claude, ChatGPT, Copilot, etc.) • Experience tutoring or teaching non-developers — patience and clarity matter • Ability to explain code decisions in plain language • Portfolio or examples of Shopify theme work
