I have written, reviewed, and updated hundreds of standard operating procedures in my current role as a Team Trainer for a global manufacturing company. I've created and developed complete training programs in 2 separate departments. My programs guide trainees from the first day of employment, through qualification and beyond, with ongoing support that grows with their knowledge. I prioritize safety, and it is always the primary theme of my SOPs and training. To standardize the format of the program, I created lists of skills and knowledge blocks called "matrices". Positions may have multiple matrices, due to the amount and or complexity of the role. Each matrix contains every skill necessary to safely perform the required tasks of the role. Data entry computer system instruction is built into the matrix.Employees train in the classroom for the first week, observing the manufacturing floor daily. For the next few months, the employee trains on the job, with daily matrix review by the Team Trainer. As the trainee learns, they are able to satisfy the requirements of the skill blocks in their matrix. Each skill block is signed off by the trainee, their floor trainer, and the Team Trainer. After each matrix is completed, the trainee is required to pass a competency test that demonstrates the information-based knowledge of the position. We are required to test knowledge with a written test, but there is no requirement of difficulty. My tests can be passed if you have done the job. I make them specific enough to determine if the trainee knows the material or is guessing. Demonstrated task assessments are given to test the parts of the job that the trainee must physically perform. An experienced operator observes the trainee performing a task, scoring the trainee's steps of the procedure on safety, efficiency and quality. I have developed trackers to document and manage the training information of our workforce. We are able to use data of previous trainees to evaluate current trainees. OSHA mandates that our employees are "kept current" of the newest information concerning upgrades on the machine they operate, and the product changes. We use SOP approval and acknowledgement to satisfy compliance. Cross-training follows the same program, without wasting time on redundant skills or knowledge, I create a custom matrix for cross-training employees. Skills or knowledge that transfers from one section to other sections of our business is credited in the original matrix. Only the new items specific to the new role are required in the cross-training matrix. I have experience in Lotus Notes, Excel, all Microsoft and Google applications. For the last 15 years, I've been writing standard operating procedures for an Occupational Safety and Health Administration Process Safety Management Certified Class 1 Division 1 hazardous material facility. I have been a Team Trainer for the last 5 years. My goal as an SOP author is to guide the operator through the task in the safest, most efficient way possible at the moment. Every step and feature is described in detail. I have been accused of being too thorough. I would rather give more information than needed. The most challenging part of SOP writing is qualifying well known terms, like "finger tight". Understanding the intent of the action, and being able to define the goal is important for trustworthy, reliable SOPs. My goal is not to save time reading the SOP, but to save time from safety issues, rework, or incorrect actions. My SOPs have robust definition sections, I explain everything in simple terms. Even an entry level employee will understand, and be able to perform the task, even if it's the first time. Pictures are worth a thousand words, and I know when and how to use them in SOPs. I prefer to use pictures to create a separate slide deck to train the operators on the SOP. Slide presentation is important to clearly convey your message. I would love to talk more about the project, and the computer software we will be teaching folks to use.
