I am would like to create a CRM application in Zoho, Podio, or any another software application with internet and mobile phone access. Choice of application is based on ability to meet specifications and lowest cost for 3 users. We have 3 workers including 1 in a call center and 2 remote property managers. The call center worker takes phone calls from callers and enters data into a form with fields for First Name, Last Name, Phone Number, Desired Move Date, Desired Number of Bedrooms, Checkbox for Cats, Checkbox for Dogs, and Property Name. Once form is entered the caller is assigned status of "prospect."
During the call, the call center asks if the caller would like to schedule an appointment. If yes, another form is created with fields for date, time, and email (for confirmation). When the details are saved, an alert is sent to one if the two property managers, and the status is changed to "Scheduled." If the caller is not interested, the status is changed to "closed" or if the caller may be interested in a future, the status is changed to "follow up."
If an appointment is scheduled, the caller meets with the local manager and views a rental home. After the viewing the caller is not interested and status changes to "closed," or is interested and a new form is completed. As the form is completed, the status changes to “applicant.” Form fields include Yes or No interest, checkbox for application received, checkbox for application fee received, and any concerns. If checkbox indicates the prospect is interested, an alert is sent to the call center to initiate a background check.
Reporting is necessary to show all calls, all appointments (name, time, date, and property), all interested prospects, and any follow ups.
