You will get An AI Virtual Assistant That Runs Your Inbox, Calendar & Admin

Project details
The virtual assistant is the most-hired role in small business for a reason: owners lose roughly 16 hours a week to admin. Email, scheduling, invoicing, data entry, follow-ups. Work that has to happen and never grows the business.
Most owners solve it by renting hours. This listing installs a system instead. This is one door into the Apex hive: if a human in your business does it twice, I build the bot for it, then wire every bot into one system. Your AI assistant triages your inbox and drafts replies in your voice, runs your calendar and books appointments 24/7, chases unpaid invoices politely, keeps your CRM updated, and follows up with new leads in minutes, not hours. Everything runs with you in control: reply drafts wait for your approval, and your accounts and data stay yours.
Proven infrastructure, built for real SMB clients. Message me with what eats the most hours in your week and which email, calendar, and CRM tools you use, and I will confirm the right tier before you order.

About Alex
AI Automation Engineer | Claude Code + ElevenLabs Systems That Ship
Morrison, United States - 11:44 pm local time
I am Alex Arhontoulis, founder of Apex Solved. When it comes to Claude, I am not a dabbler. I have used it every single day for the past year, across Claude Chat, Cowork, and Claude Code, and it is the engine behind every system I ship. That daily depth is exactly why my builds hold up in production where most prototypes stall. I have worked across the full spectrum of automation, from Make and n8n to Microsoft Copilot, and I narrowed deliberately to the stack that survives real use: Claude for the build and orchestration layer, and ElevenLabs for real-voice AI.
I do not resell software, and I do not hand over a clever prototype and disappear. I ship the working system, and I speak the language an owner actually cares about: revenue captured, hours returned, dollars replaced, and how fast it goes live.
Here is what that looks like in the field. Five systems, all deployed and running for clients right now:
1. Content Automation Engine. One input, a few questions a week or a month, and it produces and repurposes finished content across every platform plus automated newsletters. Hands off.
2. Apex Voice. An inbox assistant that learns the owner's writing voice from their own email, then triages, drafts, sends, reviews, and analyzes, with morning and evening briefs so nothing slips.
3. QuickBooks Auto-Categorizer. Categorizes transactions for clean reporting, emails the owner only for what it cannot confidently place, and never modifies or deletes anything.
4. Off-Road Buying Experience. A guided build-and-status experience with a real AI assistant that walks customers to the right build, not a canned FAQ.
5. After-Hours Voice Bot. An ElevenLabs real-voice AI that answers calls for HVAC and plumbing when the office is closed and books the work, so jobs stop leaking to voicemail.
These are not a fixed menu of products. Each one is a custom system wired into a single operation I call the hive, and it compounds as more of a business runs through it. I build the piece your business actually needs, and I build it to last.
MY STACK
I stay on the frontier and use whatever gets the best result, testing new models the week they ship. What I build with:
- AI and LLMs: Claude, day in and day out, across Chat, Cowork, and Code, plus the Claude API, multi-agent orchestration, and prompt engineering
- Real-voice AI: ElevenLabs
- Generative video and image: Higgsfield, Seedance, Google Veo, Gemini and Imagen, plus the current frontier models
- Automation and orchestration: custom Python and Node services, Make, n8n
- Content and media pipeline: Blotato, ffmpeg
- Integrations: Gmail and Google Workspace, Google Calendar, QuickBooks Online, Twilio, Stripe
- Infrastructure: Netlify and Vercel serverless functions, webhooks, and scheduled jobs
- Languages: Python, JavaScript, and Node
I take on a limited number of engagements at a time, because production work done right is not a volume game. If you want something that looks impressive in a meeting, there are cheaper options. If you want a system that is still doing its job in ninety days, when you have half forgotten it is running, that is the work I do. Tell me the outcome you are after and the process it has to survive, and I will tell you straight what is worth automating first, what it takes, and what you get back.

Kickoff
I map your inbox, calendar, CRM, and approval rules from your intake answers.
Build
I wire the assistant inside your own accounts. You keep ownership and admin access.
