Head of Operations Pros

Jayla is very kind, professional, and has excellent customer service skills. She is friendly, approachable, and always willing to help where support is needed. She works well with specific administrative tasks such as creating Canva templates, managing LinkedIn and other social media platforms, and assisting with general administrative responsibilities. She consistently demonstrated a positive attitude and genuine desire to support the organization.

Areas for Improvement

The biggest challenge was attention to detail. Throughout her time in the role, there were numerous instances of errors in emails, Canva graphics, reports, and other communications. These included misspelled names, addressing recipients by the wrong name, missing attachments, incorrect dates, grammar and spelling mistakes, and inaccurate information in daily operational updates.

There were also instances where important operational responsibilities were missed, such as a participant not receiving their CE certificate despite being listed on the attendance sheet. Additionally, one of the primary responsibilities of this role was to provide oversight by reviewing work completed by other team members before it reached me. Unfortunately, important errors in spelling, grammar, dates, policies, and operational information were frequently overlooked. On several occasions, inaccurate information was not caught before being implemented, which ultimately resulted in avoidable financial costs to the business.

As Head of Operations, accuracy, organization, and quality control were essential responsibilities. I often found myself needing to review and correct communications before they could be sent, and even after review, mistakes would sometimes still be missed. I also had to repeatedly reinforce important internal policies, such as ensuring that communications with brand partners were reviewed before being sent.

Morning operational updates frequently contained typos or inaccurate information, making it difficult to quickly understand the status of projects while I was on the go. There were also multiple occasions where my business name was misspelled despite previous corrections. During live events, there were instances where scripted information was communicated incorrectly.

Because Jayla was communicating on behalf of my organization, these mistakes did not only affect internal operations. They also reflected on me and my business. Accuracy and professionalism are critical to maintaining trust with our community members, brand partners, speakers, and clients, so repeated communication errors had a direct impact on how the organization was perceived.

Ultimately, the purpose of this role was to oversee operations, programming, and staff management while creating greater efficiency across the organization. Instead, I frequently needed to double check work for accuracy, verify communications before they were sent, and provide ongoing oversight for responsibilities that should have been managed independently. This made it difficult to fully delegate leadership responsibilities with confidence.

Overall Feedback

Jayla has many strengths and would be a valuable asset in a role that emphasizes customer service, administrative support, and social media coordination. Her kindness, professionalism, and willingness to help are genuine qualities that are difficult to teach.

To be successful in a leadership or operations role, I believe she would benefit from strengthening her attention to detail, proofreading, organization, quality control, time management, and communication. Developing stronger systems to verify information before it is shared would significantly improve her effectiveness and help build trust in her ability to independently manage operations.
