You will get AI Operations Audit: Workflow Map, Gap Analysis & Roadmap

Project details
Most operations run on tribal knowledge, manual workarounds, and tools that don't talk to each other. Owners feel it — in the scheduling chaos, the leads that fall through the cracks, the 2am catch-up work — but can't see clearly enough to fix it. This audit changes that.
You get a documented map of how your business actually operates, a frank assessment of where it breaks down, and a prioritized roadmap of exactly what to automate first — with effort and impact scored so you know where to start.
I've spent 25 years inside complex operations: construction, aviation, healthcare, and legal. I've authored 6 books on AI and operational systems. I don't build chatbots — I engineer operational infrastructure. The Audit is where most engagements begin, because you shouldn't commit to building until you know what to build.

John Paul was an absolute pleasure to work with. His passion, Ethics, Dedication to getting it right is unparalleled and I'm not used to getting this type of service on Upwork. His expertise is extreme and this is the right for somebody looking to get their businesses aligned with artificial intelligence. Would highly recommend him to any business looking for help

60 minute consultation
Jon-Paul was awesome! From the start of finding him on Upwork and reaching out he immediately started communicating and asking for details so he can prepare for our consultation 3-4 days out! During our consultation call Jon-Paul was very patient and made it a point to fully understand the current situation my project was in and offered an immediate solution(s) for us to talk thru. He made sure I understood the solution he outlined. Would definitely work with Jon-Paul again.

Most business owners didn't sign up to be human middleware between a dozen tools. But here we are. You're not looking for AI. You're looking for relief.
I've spent 25+ years in IT: running systems and teams, writing SOPs, handling CRM handoffs, cleaning up the messes nobody documented. I know what automation has to survive inside, because I've lived in it. I run my own practice on a custom AI operating system I built from scratch. Everything I recommend, I've built and run myself.
▌ THE REAL PROBLEM
You've probably already tried AI: a "game-changing" tool that took 40 minutes to set up just to send one email. It helped in a demo, then it didn't deliver.
Most problems aren't about tools. Work gets stuck between inboxes, spreadsheets, people, and decisions nobody wrote down: who owns what, what happens at the handoff, what breaks when someone's out. What you needed wasn't another tool. It was someone to build the right thing for your situation, keep your judgment where it belongs, and keep it running while you run the business — and, if you want, stay on and run it for you. That's a different skillset. That's what I do.
▌ WHAT I ACTUALLY BUILD (AND THE PROOF)
🖥️ AI OPERATING SYSTEMS: Know-how lived in scattered chats, folders, and in minds. I engineered AIOS, a digital operating system, to serve as an operational backbone. It actively captures institutional knowledge — client history, proof points, hard-won decisions — into a living control plane that standardizes how work gets done and automates onboarding for every new engagement. Purpose-built skill agents act as role-based specialists — research, deliverable production, client reconciliation, invoicing — while built-in audit loops reinforce strict governance, demanding my explicit sign-off before anything client-facing ships.
✈️ AVIATION & CRM AUTOMATION: A broker was losing hours of hand work on every lead, tied to an always-on office PC. I built lead-enrichment, content, and follow-up pipelines on Claude Code + the Claude API into HubSpot, then moved them to run unattended in the cloud. Lead prep dropped to near-zero.
🩺 HEALTHCARE ADMIN: A benefits team drowning in 2,400 emails a month. I built Microsoft Copilot prompts into Outlook that reads a whole thread, classifies the request, grounds every answer in her own policy knowledge base with the evidence cited, and drafts both replies with missing details flagged rather than invented.
🏗️ CONSTRUCTION & TRADES: A key person's knowledge lived in his head; hiring was paper and manual checks. I built an operations manual plus quick-starts so backup staff have a real playbook — plus Claude hiring screens (I-9, drug-test, background, capability scoring, standardized report). The HR team runs it today.
▌ THREE WAYS I DELIVER IT (USUALLY A MIX)
▪ TRAIN YOUR PEOPLE — for judgment or relationship work, I make your team great with AI and coach them until it's second nature. They stay the driver.
▪ AUTOMATE IT — for repetitive, high-volume work, I build the pipeline that runs on its own and waits for a human's yes.
▪ I RUN IT — when you'd rather not run it at all, I stay on as your operator, so you just get the outcome.
A human stays on the decision either way, and I never lock you in: it's your systems and your files, handable to someone else tomorrow.
▌ THE TECH STACK
▪ Agents & infrastructure: Claude Code, Claude Teams, scheduled cloud agents (Routines) — nothing to babysit
▪ Workflows: n8n (my depth, deterministic routing), Make, Zapier, custom production agents
▪ Models: Claude, OpenAI, Gemini — to read, sort, draft, decide, with human approval where it matters
▪ Data & APIs: Supabase, Airtable, Postgres, Google Sheets, REST/webhook integrations, RAG
▪ CRM & where work lives: HubSpot, ClickUp, Airtable, Notion, Monday, Smartsheet, Google Workspace
▌ HOW I WORK
START WITH THE PRESSURE: The one thing costing you the most time or attention right now, not an "AI transformation." I get inside how the work actually happens.
BUILD SMALL, PROVE IT, EARN THE NEXT: No month-long black box. I build the smallest useful piece, run it alongside what you have, and prove it on real work before you depend on it. Often the most valuable thing I do is talk you out of the flashy build until the foundation that carries it is in.
GOVERN THE WHOLE WAY: Read-only by default, a human on anything that matters, monitoring and an escalation path. If something breaks, you hear it from me before your clients do.
DONE MEANS YOUR PEOPLE CAN RUN IT: Documented so it lives in your business, not in my head.
