It is the most common problem I see in small businesses, and it is not a discipline problem. Too much of the company lives only in your head and your inbox. So the admin lands on you. Decisions wait for you. Your team stays stuck without guidance you have not had time to give, and the work that would actually change the business waits for a quieter week that never comes.
Set up properly, AI takes a lot of that off you. Not a chatbot bolted onto how you already work, but your knowledge in one place, your inbox handled, and your team able to get further on their own before they need you.
I have built this for enough small businesses to know the patterns, and enough to know yours will be different. So the work starts by finding where your hours actually go.
WHAT I'VE BUILT
Company brains. Structured, queryable layers over everything a business knows, so people and AI work from the same source of truth.
One over a large scanned archive. It answers plain-English questions grounded only in that material, shows the passage behind every answer, and says "not in the source material" rather than guessing. Runs locally, so nothing leaves the client's machine. In daily use.
One for an engineering team. A single trustworthy place to ask what the status of something is and why a decision was made, holding enough context that AI then drafts the product requirements and test plans from it.
An email PA, for a client whose inbox was setting their agenda.
Triage. Everything arriving sorted into urgent, waiting on a reply, quick win, ignore.
Alerting. The urgent things reach them wherever they are, and nothing else interrupts.
A daily digest of what came in and what was held back, which is the piece that makes it safe to stop checking.
Drafting. A rough brain dump in, a reply in their own voice out, for approval.
Chasing, so the people who owe a reply get followed up without anyone having to remember.
Team coordination, for teams where too much routes through one person.
Daily standups. Each person plans against the current priorities rather than whatever is loudest, the system pushes back when a goal is vague, and at the end of the day it reports what actually happened against that plan.
Meeting transcripts turned into actions and assigned, either to a person or to AI where AI can take the first pass or the whole thing. If it is not sure who something belongs to, it asks rather than guessing.
Weekly progress reports drawn from what actually happened that week: commits, cards moved, decisions taken. Not someone's memory on a Friday afternoon.
Work reviewed before it reaches you, so you are the second pair of eyes rather than the first.
Rough notes turned into a brief someone can build from, grounded in the company brain so it already accounts for what exists, what has been tried before, and why earlier decisions went the way they did.
HOW I WORK
I start by understanding how you actually work: your workflows, where the hours go, what is genuinely hard. We prioritise together, and wherever possible I build on the tools you already have rather than adding another one. Then I teach you and your team to run it.
Most engagements start as a fixed first project. My aim is to be your long-term AI partner. This field moves quickly, and the value compounds when someone keeps you current rather than handing over and disappearing.
BACKGROUND
I have worked in AI since 2018: Staff AI Product Manager at Meta, Head of Product at Jukedeck (acquired by ByteDance/TikTok) and at Zyper (Y Combinator, acquired by Discord), and co-founder of an AI startup. I have a degree in philosophy and psychology from the University of Oxford.
