Project details

When creating Word documents based on Word templates, it is possible to make data entry errors that are hard to find. There is text that never changes between documents. Then there is text that changes in every document.

The text that does change is moved to a custom SharePoint list. For new documents, the user just needs to add an item to the list rather than using Word to edit data. You do not need to go into Word at all.

Then Power Automate does the rest for you. Automate pairs the list item with a template to form a new document based on the template, and you never need to go into Word.

Review the template for variables

What changes, and what does not change each time the template is filled out? We want to take what changes and move that to a custom list. Then when you start a new document, you fill out a new list item instead of going into Word.

Build a custom SharePoint list and library

The list will hold all of the extracted variables from the template. A document library will be built to hold the template(s) and the new documents each time a new document is created.
